Position Overview
Valencia College is hiring an Administrative Assistant to support the Dean of Academic Success team on the West Campus.
Key Responsibilities- Provide routine to moderate level administrative support to ensure efficient operation of the department.
- Serve as the primary point of contact and resource for faculty, staff, and students, offering expertise in resolving issues, addressing concerns, and responding to requests.
- Coordinate with other academic divisions for room scheduling, required equipment, and documentation processing.
- Assist with maintaining and monitoring departmental budgets and expenditures.
- Support calendar management, scheduling meetings, handling correspondence, and preparing routine paperwork.
- Coordinate internal and external events and activities, including preparing written materials such as procedural manuals and promotional content.
- Generate reports and documentation by researching, compiling, and analyzing data to support decision‑making.
- Communicate and enforce organizational policies and procedures; manage unique requests and provide ongoing support to stakeholders.
- Manage incoming telephone calls for the department, including messages and call routing.
- Assist with faculty and staff hiring processes, onboarding, and payment processing as needed.
- High‑school diploma or GED.
- Two (2) years of experience related to the essential job functions.
- Knowledge of office administration principles and practices.
- Knowledge of event coordination and/or training and development.
- Proficiency in personal computer use and general office software.
- Excellent customer service and interpersonal skills.
- Strong written and oral communication skills.
- Ability to take initiative and work effectively with limited supervision.
- Excellent organizational and prioritization skills; ability to meet deadlines.
