Position Overview

Valencia College is hiring an Administrative Assistant to support the Dean of Academic Success team on the West Campus.

Key Responsibilities
  • Provide routine to moderate level administrative support to ensure efficient operation of the department.
  • Serve as the primary point of contact and resource for faculty, staff, and students, offering expertise in resolving issues, addressing concerns, and responding to requests.
  • Coordinate with other academic divisions for room scheduling, required equipment, and documentation processing.
  • Assist with maintaining and monitoring departmental budgets and expenditures.
  • Support calendar management, scheduling meetings, handling correspondence, and preparing routine paperwork.
  • Coordinate internal and external events and activities, including preparing written materials such as procedural manuals and promotional content.
  • Generate reports and documentation by researching, compiling, and analyzing data to support decision‑making.
  • Communicate and enforce organizational policies and procedures; manage unique requests and provide ongoing support to stakeholders.
  • Manage incoming telephone calls for the department, including messages and call routing.
  • Assist with faculty and staff hiring processes, onboarding, and payment processing as needed.
Qualifications
  • High‑school diploma or GED.
  • Two (2) years of experience related to the essential job functions.
  • Knowledge of office administration principles and practices.
  • Knowledge of event coordination and/or training and development.
  • Proficiency in personal computer use and general office software.
  • Excellent customer service and interpersonal skills.
  • Strong written and oral communication skills.
  • Ability to take initiative and work effectively with limited supervision.
  • Excellent organizational and prioritization skills; ability to meet deadlines.
  • High level of accuracy and attention to detail.
