Harris Media is seeking a part-time Office Manager/Administrative Assistant to oversee various administrative and HR-related tasks at our office in Downtown Miami, Florida. This role requires strong organizational and administrative skills, as well as the ability to handle multiple responsibilities efficiently. The ideal candidate will be detail-oriented, proactive, dependable, trustworthy, and able to wear multiple hats at our advertising agency. This job will require one day minimum per week in the office, either Monday or Wednesday.

Hours can be flexible and coordinated with Operations Supervisor.

Responsibilities:

  • Maintain the office calendar and schedule appointments as needed
  • Coordinate office events, including ordering food and making necessary arrangements
  • Handle business card coordination and assist with mail management
  • Perform various operational tasks to ensure smooth office functioning
  • Oversee any office projects that need to be completed
  • Ensure that all staff have proper equipment to perform their job duties
  • Assist with financial tasks such as expense management, credit card reconciliation, invoice tracking, and check deposits
  • Manage recurring expenses related to office operations, including Amazon purchases, Metrocard expenses, and office vendors
  • Coordinate office supply purchasing and ensure adequate inventory levels
  • Support HR in employee onboarding and offboarding processes
  • Provide initial support with hiring and first round interviews

Requirements:

  • Strong organizational skills with the ability to prioritize and multitask effectively
  • Excellent attention to detail and accuracy
  • Knowledge of HR processes, including onboarding and offboarding
  • Ability to handle confidential information with discretion
  • Proficient in Google Suite
  • Strong written and verbal communication skills
  • Ability to work independently and proactively
  • Must commit to at least one day in the office (Monday or Wednesday)
  • Personal vehicle for out-of-office tasks


Job Type:
Part-time (20 hours per week)

Pay: $20.00 – $26.00 per hour

Work Location: Downtown Miami, Florida

Schedule: M/W in office, remaining hours remote
