Your Role at AcoustiThe Front Desk/Office Coordinator is the first point of contact for visitors, clients, vendors, and team members, providing exceptional administrative support to ensure smooth office operations. This role helps maintain a professional, organized, and welcoming office environment while supporting multiple project teams.
Key ResponsibilitiesIn this role, you will:
- Be the first point of contact by greeting and assisting visitors, clients, vendors, and employees in a courteous and professional manner
- Answer, screen, and route incoming phone calls, emails, and general inquiries efficiently and professionally
- Prepare correspondence, reports, and internal communications, and support administrative operations through data entry, document creation, filing, and records management
- Ensure accurate calendar management, efficient meeting room scheduling, and an organized front desk environment
- Manage office supply inventory and coordinate essential administrative logistics
- Receive, sort, and distribute incoming mail and packages, and manage outgoing correspondence
- Maintain strict confidentiality when handling employee, candidate, and company information
- Collaborate cross-functionally with various project teams such as accounting, legal, and leadership to support business operations
- Assist in maintaining compliance with company policies, safety protocols, and office standard
- Identify and recommend opportunities to improve front-office and administrative processes.
To succeed in this role, you should have:
- High School diploma or equivalent required;
Associate’s degree preferred - 1-3 years of experience in a receptionist or front office role (professional services or office environment preferred)
- Strong customer service and interpersonal skills with a professional demeanor
- Proficiency in Microsoft Office (Outlook, Word, Excel) and basic office technology
- Excellent organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Clear verbal and written communication skills
