Orland Township is looking for an Executive Administrator. Located in Orland Park, IL, this position oversees the operation of the township government, and all employees report directly or indirectly to this position. Candidates should provas 3‑5 years experience managing people, have some finance exposure, and 2 years of college preferred.

The Executive Administrator is responsible for the overall administrative, financial, and operational management of township functions, providing direct support to the Supervisor and Board of Trustees. This role supports the board and committee operations, prepares agendas, financial reports, budgets, levies, and ensures compliance with federal, state, and local reporting requirements.

The Executive Administrator supervises staff, manages payroll and benefits administration, coordinates insurance and risk management activities, and oversees township funds and banking activities. Acting as a key liaison among elected officials, employees, residents, governmental agencies, legal counsel, and the media, the position also leads public relations efforts, community programs, and special events. The Executive Administrator ensures efficient township operations through strong leadership, fiscal oversight, regulatory compliance, and responsive service to residents.

Responsibilities
  • Attend all regular and special board meetings.
  • Communicate with Supervisor and Board of Trustees on a regular basis regarding township business.
  • Prepare and corporate agenda for the Town Board meetings and fax copies to local newspapers, upon request.
  • Complete cover sheets for Town Fund, Road & Bridge Fund, and General Assistance Fund before board meetings.
  • Prepare all documentation needed for board meetings and distribute to Supervisor, Board of Trustees, and Clerk prior to each meeting.
  • Prepare and submit all bills payable to Township Clerk prior to each board meeting.
  • Prepare sign‑in sheets for Board meetings.
  • Duplicate and distribute monthly financial reports to department directors.
  • Provide reports to the Supervisor and Board of Trustees as needed.
  • Assign offices and keys for such offices to employees.
  • Schedule and attend all Finance Committee meetings.
  • Prepare press releases for media as needed.
  • Prepare documentation for bidding process and follow up with successful contractors.
  • Supervise all staff members.
  • Prepare employee calendars for each fiscal year.
  • Maintain employee calendars regarding time off.
  • Interview and make recommendations to the Supervisor and Board of Trustees regarding the hiring of staff members.
  • Complete IMRF personnel forms and monthly report.
  • Complete and submit quarterly reports to Federal and State Departments of Revenue.
  • Complete and submit quarterly reports to the State of Illinois Department of Employment Security.
  • Maintain up‑to‑date township insurance files.
  • Communicate with insurance company whenever necessary.
  • Coordinate requests for annual renewal of policies and provide required submissions to insurance providers.
  • Complete Medical/Life insurance forms.
  • Oversee financial accounts for all township funds.
  • Handle all miscellaneous Lou rations bank transactions and inquiries.
  • Maintain employee time cards for payroll information.
  • Submit staff payroll worksheets to automated services.
  • Prepare yearly budget.
  • Prepare yearly levy.
  • Assist accounting firm with monthly reconciliation of bank statements.
  • Prepare styling of 1099 recipients for/accounting firm.
  • Assist auditing firm by providing all requested documentation and technical assistance in a timely fashion.
  • Communicate with township attorney whenever directed by the Supervisor and Board of Trustees regarding all legal issues.
  • Network with other townships and governmental offices.
  • Coordinate community events with various agencies and governmental units, including Orland Park Chamber of Commerce Expo, Discover Tinley Expo, Orland Park Fire Protection District Open House.
  • Act as a public relations officer with outside agencies and organizations.
  • Develop and implement programs to benefit residents of the community.
  • Communicate with local newspaper staff reporters as necessary.
