Overview

Under the general direction of a director, you will perform and oversee a broad range of administrative, fiscal, and planning activities that support day-to-day operations and long-term goals. From budget administration and facilities scheduling to inventory control and specialized record keeping, this position calls for advanced organizational skills, sound judgment, and the ability to manage detailed processes with accuracy and efficiency.
In addition to supporting operational excellence, you will coordinate meetings, programs, and special events that enhance engagement across campus. The role also provides leadership experience through training and oversight of support staff and/or student employees, offering the chance to mentor others while strengthening team performance. - Performs advanced and confidential administrative support duties, including composing routine correspondence, meeting minutes, financials, and obtaining factual information requiring knowledge of policies/procedures of assigned and work related areas.
- Coordinates the preparation and submission of various reports, including timecards, ePAF’s, ESAF’s, new hire paperwork completion and submission, requisitions, purchase orders, index tracking and reconciliations, budget balances, travel requests, etc. Establishes updates, and maintains files, inventories, ordering, receiving, billing, distributing, and reconciling expenditures. Coordinates the payroll process, including preparation, submitting, monitoring, and maintaining payroll records.
- Maintains inventory of office equipment and supplies, and administers other office duties as needed which may include supervision of office support.
- Informs students, faculty, and public of departmental and university services available, and answers incoming requests for information.
- Performs other job related duties as assigned or needed.
Graduation from an accredited institution with a bachelor’s degree or any combination of education and/or experience totaling four years.
Preferred QualificationsPrevious office administrative experience preferred.
Knowledge- Knowledge of best practices in events, communications, correspondence, and appropriate matters of etiquette in various settings.
- Knowledge of computer systems and software essential to the completion of assigned duties.
- Skills in office methods, techniques, practices and procedures.
- Skills in the preparation and interpretation of reports, charts, graphs, and tables.
- Skills in interpersonal, problem-solving and decision-making skills.
- Skills in customer service orientation and phone etiquette.
- Ability to plan and anticipate potential changes and act accordingly.
