SummaryOf Responsibilities
- Performs advanced and confidential administrative duties, including composing routine to complex correspondence, preparing meeting agendas and minutes, financial reports, and obtaining factual information requiring knowledge of policies/procedures. Maintains and updates files, databases, records, and/or other documents; develops and maintains data; and performs routine analysis and calculations in the processing of data for recurring internal reports. Manages the Senior Director’s schedule.
- Provides clerical support for other directors and administrative staff as appropriated by the Senior Director. Provides planning support for internal and external events and meetings, such as room scheduling, catering orders, event staffing, and other activities consistent with hosting stakeholders at UVU for all units within the Workforce Alignment team. Participates in cross-campus planning committees and works with stakeholders on and off campus to execute workforce readiness events and initiatives.
- Serves as Executive Secretary of the campus-wide Workforce Alignment Council and Workforce Executive Committee. Provides administrative support for Program Advisory Board Leadership training and ad hoc taskforces and work groups for related workforce initiatives. Under the direction of the Senior Director, communicates with deans, directors, and other stakeholders across campus regarding workforce development activities.
- Prepares and submits ePAFs, new hire paperwork, requisitions, budget transfers, travel authorizations and reimbursements, and various other administrative duties. Oversees pro-card and asset audits when necessary. Maintains inventory of Workforce Alignment equipment, furniture, branded promotional items, and office supplies. Makes purchases and reconciles receipts and budgetary items in accordance with campus policy.
- Operates office equipment such as photocopier, fax machine, and calculator. Provides administrative/secretarial support of the department/building such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries. Collects and distributes materials and assignments.

Graduation from an accredited institution with a bachelor's degree or any combination of education and/or experience totaling four years.
Preferred QualificationsPrior experience providing administrative or office support in a fast-paced environment.
