Overview
The Welcome Center Advisor Generalist at Utah Valley University serves as a welcoming and knowledgeable first point of contact for guests, prospective students, and families. This role provides accurate, student-centered guidance on admissions requirements, degree programs, and Utah residency, while helping visitors navigate university systems and resources. Through friendly, professional interactions, the position supports UVU’s commitment to access, clarity, and student success.

The Welcome Center Advisor Generalist contributes to the efficient daily operations of the Welcome Center while offering basic technical support and responsive assistance to a diverse audience. Responsibilities- Advising, Customer Service, and Frontline Support:
Serves as the first point of contact in the Welcome Center, greeting and assisting guests in person, by phone, and electronically. Provides information and guidance on admissions requirements, policies, resources, degree programs, and Utah residency. Assists students with accessing and using admissions-related systems, including account setup, password resets, application submission, and document uploads. Ensures each visitor interaction reflects a professional, inclusive, and student-focused experience. - Operational and Administrative Support:
Coordinates daily Welcome Center operations, including visitor flow, appointment scheduling, and system updates. Enters and maintains data in Banner and the CRM to track inquiries, applications, and communications. Prepares reports and assists with maintaining accurate records, forms, and documentation. Collaborates with admissions and IT support staff to troubleshoot front-line system issues and escalate complex technical or procedural questions appropriately. - Training, Policy Knowledge, and Continuous Improvement:
Maintains up-to-date knowledge of admissions and residency requirements, policies, procedures, and technology platforms to ensure accurate and consistent advising. Participates in training, staff meetings, and professional development activities. Identifies common student challenges and recommends process or communication improvements to enhance service quality and efficiency. - Events and Special Projects:
Supports admissions and recruitment events, campus tours, and outreach efforts as needed. Assists with special projects to enhance the Welcome Center’s operations and visibility. - Performs other job-related duties as assigned.
Graduation from an accredited institution with an associate's degree plus 1 year of experience relevant to the job, OR any combination of education and experience totaling three years.
Education and Experience (Preferred)- Preferred Qualifications:
- Associate or Bachelor’s degree in hospitality, communications, higher education, or related field.
- Experience in a higher education setting or visitor services environment.
- Knowledge of university admissions, campus resources, or recruitment processes.
- Experience handling scheduling, CRM systems, or administrative operations.
- Demonstrated ability to create a welcoming and professional guest experience.
- Proficient in speaking Spanish.
- Strong knowledge of Utah Valley University programs, resources, and campus services.
- Familiarity with visitor management, scheduling, and general office operations.
- Understanding of customer service and hospitality best practices to create exceptional first impressions.
- Basic knowledge of university systems, including CRM platforms, Banner, and scheduling software.
- Knowledge of college admission policy and procedures.
- Knowledge of Utah residency requirements.
- Knowledge of international student admission and visa protocol.
