Description
Under the general supervision of the Rehab Manager, the Therapies Scheduling Specialist maintains the therapy treatment area, preps for therapy sessions, helps transport immobile patients, and performs administrative duties. The Therapies Scheduling Specialist’s primary function is to utilize communication and management skills to coordinate seamless care delivery for patients. The Therapies Scheduling Specialist will also assist with scheduling of multiple therapies treatment modalities.
Additionally, they must obtain prior authorizations for all services that require authorization. The Therapies Scheduling Specialist collaborates with referral staff, medical providers, nursing staff and other patient care support staff.

The Therapies Scheduling Specialist’s primary function is to utilize communication and management skills to coordinate seamless care delivery for patients. The Therapies Scheduling Specialist will also assist with scheduling of multiple therapies treatment modalities.
Additionally, they must obtain prior authorizations for all services that require authorization. The Therapies Scheduling Specialist collaborates with referral staff, medical providers, nursing staff and other patient care support staff.
- Receives and processes incoming referrals for Therapy Services. Validates payors and obtains authorization. Coordinates evaluation appointments with patients and therapists.
- Obtains authorization for initial and subsequent treatments. Monitors visit counts and obtains updated authorizations as needed.
- Gathers pertinent information as needed via EHR or from clinical team to accurately complete scheduling and authorization process. Review details and expectations about the scheduling and authorization with patients. Notifies patient of scheduling status and provides information once the patient is scheduled.
- Manages medical records including chart prep and scanning/faxing of progress & discharge notes.
- Maintains equipment and inventory and notifies the therapist if there are any problems.
- Answers telephones professionally and promptly.
- Familiar with Policies, Procedures, and Protocols. Care and Documentation meets current standards of practice and complies with all such guidelines.

Job Requirements Education & Experience
- High school diploma or equivalent is required.
- Moderate computer skill including Microsoft Office (Word, Excel, Outlook).
- Strong interpersonal skills with an ability to work with people in close situations, using excellent communication and listening skills.
- Good physical strength and stamina for supporting patient movement and care.
- Strong organizational and prioritization ability.
- Multitasking and time management is critical to performance of the role.
Ability to support both campuses as needed by the department is required.
