Event Support Coordinator
Hybrid – Portland, OR
A philanthropic fundraising organization supporting one of Oregon’s largest healthcare providers is seeking an Event Support Coordinator to join its team in Portland, Oregon. This role supports a high-volume events program and offers the potential to grow into a long-term opportunity. The position follows a hybrid schedule, with some days onsite and others remote.
Job SummaryThe Event Support Coordinator will assist the events team with a wide range of responsibilities before, during, and after events. This role is hands‑on and collaborative, supporting both administrative planning and on‑site execution to ensure a successful experience for all guests and stakeholders.
Key Responsibilities- Event Administrative Support (40%):
- Provide administrative support for events before, during, and after execution.
- Track RSVPs and manage event reporting.
- Prepare name badges and event materials.
- Assist with event packing and post‑event wrap‑up tasks.
- Onsite Event Support (30%):
- Provide on‑site support during events, including guest registration and check‑in.
- Serve as a greeter and point of contact for guests and vendors.
- Assist with event setup and breakdown.
- Support vendor coordination and on‑site logistics.
- Event Planning & Execution (30%):
- Lead and coordinate logistics for on‑campus and off‑campus events.
- Create and manage event plans, timelines, and schedules.
- Coordinate with communications colleagues on print and digital event collateral.
- Manage relationships with vendors, external partners, and stakeholders.
- Collaborate with event owners and hosts on guest lists, venue selection, catering, parking, and other logistics.
- Ensure event management software (Blackthorn) is accurate and up to date by entering, tracking, and managing assigned events.
- Lead or assist with post‑event evaluations to ensure goals and objectives are met.
- Demonstrated ability to manage and prioritize multiple, complex, deadline‑driven projects simultaneously.
- Ability to work well under pressure and exercise sound judgment in fast‑paced or high‑stress situations.
- Strong interpersonal and communication skills with the ability to interact professionally and tactfully at all levels.
- Minimum of 5 years of event management experience.
- Experience in higher education, nonprofit, or fundraising environments preferred.
This is a Contract to Hire position based out of Portland, OR.
Pay And BenefitsThe pay range for this position is $22.00 – $25.00 per hour.
