Position Title: Administrative Assistant – Oregon Branch
Location: Oregon City, OR (onsite at the Oregon Branch)
Matheus Lumber Company (MLC) is a privately held organization headquartered in Woodinville, Washington specializing in building materials sales to project owners and general contractors in the multi‑family, commercial, and residential construction disciplines. This is a salaried non‑exempt, full‑time position targeting 40 hours per week. The role is expected to be onsite at the Oregon Branch located in Oregon City, OR. This role reports to Wes Newmyer, GM of Windows and Specialty Products.
Responsibilities- Greet visitors, answering questions and providing necessary information
- Answering, screening, and directing incoming calls in a timely manner
- Manage outgoing and incoming mail, UPS labels and deliveries
- Filing and scanning documents
- Manage facility vendor accounts, maintain office and break room supplies
- Manage employee and customer swag, giveaways and other branding materials
- Miscellaneous administrative duties as assigned
- Data entry in Excel & Company ERP (Wood Pro)
- Quote entry into window manufacturer(s) quoting platforms
- Manage sales PO# spreadsheet
- Manage vendor invoices and customer billing
- Assist MLC Credit Department with Final Waiver inquiries and project credit approval documents
- Organize and track customer delivery tickets and proof of deliveries
- Additional training and tasks as assigned by Administrative & Billing and Project Management leads
- Previous experience in building material supply
- Knowledge of commercial & residential windows preferred
- Operating modality that aligns with our guiding principles
- Outstanding performer with proven administrative experience
- Proficiency with Microsoft Office, Teams and web‑based software
- Proficiency with Wood Pro and Power BI, a plus
- Strong phone and switchboard operating skills
- Strong data analysis, critical thinking, and problem‑solving skills
- Self‑starter with the ability to prioritize many urgent requests
- Excellent interpersonal and communication skills, including verbal and written; ability to interact with team members on all levels
