Your Role on the Team Position Summary

Under the general direction of the Registration Department Manager, incumbent is responsible for providing oversight and maintaining the daily operations, scheduling/planning, allocation and evaluation of the NOVA/Pre-admit Admitting teams. Acts as a control point for Registration issues. Responsible for coordination and staffing, troubleshooting and escalation of complex issues, monitoring productivity, acting as a coach and positive role model for staff, fostering a work environment that promotes positive morale, and developing and/or coordinating staff training.

Responds to patient services issues and ensures timely and customer-focused service to patients. Directs collection of productivity, quality assurance and statistical data. In conjunction with manager, responsible for interviewing, hiring, effectively managing job performance and adherence to UCI policies and procedures. Works collaboratively with peers to ensure department goals are met and policies and procedures are followed.

What It Takes to be Successful

Required Qualifications
  • Thorough knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Strong customer service and interpersonal skills
  • Solid leadership skills to coach, mentor, and strengthen the team’s performance, providing thorough and accurate review of complex work and oversight and coordination of tasks and projects
  • Solid knowledge of relevant policies, protocols, regulations, and organizational objectives with the ability to articulate them and ensure daily operations are in compliance
  • Solid knowledge of multiple insurance payor types, authorization processes, and admitting and registration processes and requirements
  • Solid knowledge of medical and insurance terminology
  • Must possess the skill, knowledge and ability essential to the successful performance of assigned duties
  • Minimum 2 years of demonstrated supervisor and/or leadership skills to supervise, motivate, and develop staff
  • Minimum 1 year of experience as a PAW supervisor in multiservice clinic site
  • Excellent written and verbal English communication skills
  • Excellent organizational and planning skills and ability to manage multiple activities and varied deadlines
  • Bachelor’s degree in related area and/or equivalent experience/training.
  • Ability to supervise, schedule, and coordinate daily activities for the subordinate staff
  • Ability to maintain flexibility and work well in a fast paced, constantly changing environment
  • Ability to maintain a work pace appropriate to the workload
  • Ability to establish and maintain effective working relationships within the work unit and across the UCI Health System
  • Ability to act independently to solve problems and develop recommendations for approval
Preferred Qualifications
  • Working knowledge of EPIC registration system
  • Understanding of The Joint Commission requirements
  • Previous experience in billing procedures
  • Knowledge of University and Medical Center organizations, policies and procedures
  • Bilingual skills
