Summary:

The Medical Receptionist is a full-time, 40 hours per week, hourly position. This person will be cross trained in all front desk positions including check-in, check-out, chart prep, operator and other front desk duties. Represents the practice in a positive, professional manner. Travel to all offices as needed. Must be flexible in performing job duties. Requires strong customer satisfaction skills.

Essential Duties And Responsibilities
  • Schedules appointments. Obtains necessary information and checks half-screen for past due amounts or other relevant information. Enters appointment information properly into computer, including insurance information. Mails or faxes paperwork to new patients, explains referral requirements, brings scans, etc., when patients come to the office. (See appointment scheduling procedure for details.)
  • Answers incoming telephone calls, schedules appointments, takes clinical staff messages, and forwards calls to appropriate personnel or departments. Answers questions about the organization and provides callers with address, directions, and other information.
  • Calls patients to remind them to use the portal for their appointment and confirms the schedule for the next 2–3 days by direct contact or message. Reminds patients to bring their insurance card for each visit and confirms referrals for HMO patients. Cancels or reschedules appointments as needed and notifies front desk staff and surgery scheduler of changes.
  • Utilizes the White Book as a daily resource; keeps the book up to date and suggests information to add when appropriate.
  • Stays informed and up to date on all managed care plans the physicians are enrolled in and their individual referral requirements.
  • Looks up chart numbers/EHR for Medical Records.
  • Checks patient reception area daily before lunch to ensure it is neat, clean, and stocked with magazines for the afternoon.
  • Participates in staff meetings and front desk tip meetings.
  • Familiar with and complies with HIPAA regulations and all general office policies and procedures.
  • Actively participates as a positive team player at the front desk, assisting other positions when possible. Contributes to a positive, professional, and caring atmosphere at the front desk and in the office overall.
  • Check-In:
    Greets and checks in patients in a courteous, expeditious, and professional manner, verifies insurance authorizations, completes appropriate paperwork, answers phones, and routes clinical staff messages. Keeps patients informed of delays and addresses concerns in the reception area. Assists in meeting patient needs and ensuring satisfaction.
  • Check-Out:
    Checks out patients, collects due amounts, answers phones, and routes messages from the answering service and other front desk duties.
  • Operator:
    Answers phones, makes and confirms appointments, takes clinical messages, and transfers calls to appropriate personnel.
  • Chart Prep:
    Prepares charts and reviews EHR records for patient appointments; obtains insurance authorizations.
  • Floater:
    Floats to each front desk position as needed; ensures insurance authorizations are in place for all patients; pulls charts for clinical staff; confirms appointments; backs up other front desk positions as needed.
Requirements
  • Strong communicator; all communications are conducted with professionalism and respect.
  • Excellent computer skills.
  • Motivated to learn.
  • Bilingual in English and Spanish is preferred.
Education And/or Experience

High school diploma or GED.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Computer Skills

Must have knowledge of basic programs such as Microsoft Word and Google programs.

Mathematical Skills

Ability to add and subtract two-digit numbers and to multiply and divide with 10s and 100s; can perform these operations using units of American money.

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
