Job SummaryThe Receptionist will deliver friendly, efficient, exceptional customer service and create a warm and welcoming atmosphere for all of our visitors. The Receptionist will operate incoming telephone system to answer incoming calls and direct callers to appropriate personnel by performing the following duties and completing a variety of administrative duties.
Essential Job TasksAdditional duties may be assigned.
- Invites and welcomes on-site visitors in a professional and friendly manner, determines nature of business, and provides guidance and answers questions about organization.
- Operates incoming telephone system to answer incoming calls, determines purpose of calls, and transfers calls to appropriate personnel.
- Retrieves messages from university voice mail system and forwards to appropriate personnel.
- Monitors visitor access and issues passes as needed, announces visitors to appropriate personnel.
- Organizes, updates, and ensures the employee photo badges are accurate for all new hires, department transfers and/or employee separations within each department.
- Creates and prints memos, correspondence, reports, and other documents as necessary.
- Orders, receives, and maintains office supplies; receives invoices for services and products and process as appropriate.
- Performs other clerical duties as needed, such as filing, photocopying, and collating, while ensuring the reception area is well maintained and organized.
- Promotes, maintains and enhances workplace culture within Human Resource department and the university.

Knowledge- English Language - Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- Computer - Knowledge of basic computer processes including word processing, web browsing, and Microsoft Office including Basic Microsoft Excel.
- Clerical - Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.

- High school diploma or the equivalent is required.
