Required Skills & Experience- Strong organizational and communication skills
- Experience coordinating academic or research projects
- Ability to manage many emails and deadlines simultaneously
- Professional email writing
- Experience working with academic medicine or research grants
- Experience coordinating multi-institution collaborations
- Familiarity with letters of support and grant submissions
We need a highly organized program coordinator to support national coordination of a large multi‑institutional grant submission. This role focuses on communications, outreach, and document coordination, not writing the grant itself. The coordinator will help gather letters, manage communications, and identify potential national partners and sponsor organizations.
Responsibilities- Send and track emails to collaborators across institutions
- Collect and organize:
- letters of support
- biosketches
- institutional documents
- Draft and send template emails for PI review
- Identify and reach out to:
- national sponsor organizations
- partner institutions
- stakeholder groups
- Track responses and follow-ups
- Maintain organized folder of all grant materials
- Coordinate deadlines across sites
- Ensure all documents submitted before May deadline
- Extremely organized

- Comfortable reaching out nationally
- Able to follow up persistently but professionally
