Migrant and Immigrant Community Action (MICA) Project

Operations Coordinator
About the Organization:
The MICA Project is a community organization committed to working with low-income immigrants to overcome barriers to justice. The MICA Project utilizes legal services, organizing, advocacy, and education to promote the voice and human dignity of immigrant communities.

About the Position
:
The Operations Coordinator will work closely with the Director of Operations, supporting day-to-day operations with a focus on basic bookkeeping, administrative coordination, and donor database management. The ideal candidate is detail oriented, a good communicator, comfortable with basic math, and energized by helping to create organized processes to ensure that the MICA Project can fulfil its mission.

Primary Duties and Responsibilities
Bookkeeping & Financial Support

  • Coordinate the processing of invoices, reimbursements, and credit card receipts.
  • Assist with monthly bank reconciliations and financial reporting.
  • Maintain organized digital and physical financial records.
  • Provide support during audits, year-end closing procedures, and annual filings.
General Operations & Administrative Support
  • Support the onboarding of new staff.
  • Maintain organizational files, shared drives, and documentation.
  • Help improve internal systems, workflows, and operational processes.
  • Provide general office support, including vendor coordination, meetings, and internal communication.
Donor Database & Development Support
  • Maintain accurate donor records, contact information, and giving histories.
  • Process donations and generate timely donor acknowledgments.
  • Prepare donor reports and mailing lists for Directors and support the fundraising team during campaigns.
Qualifications
  • Strong attention to detail and commitment to data accuracy.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Ability to handle sensitive information with discretion.
Preferred Attributes
  • A proactive, solutions-oriented mindset.
  • Ability to juggle multiple tasks without losing track of details.
  • Interest in nonprofit operations, fundraising, and mission driven work.
Other
  • Familiarity with Quick Books Online, donor CRM systems (we use Little Green Light), experience with bookkeeping or financial data entry, and/or non-profits a plus. We also value a willingness to learn.
Annual

Salary & Benefits:

  • Salary: $56,000
  • Hours of work: 40 hours per week, during normal work hours, with occasional evening/ weekend work, flex time available.
  • Group benefits:
    Full health and dental coverage for the employee (no employee contribution towards premium), effective upon start of employment (however, it may take up to 30 days to receive proof of coverage).
  • Dependent health and dental coverage available, at the current monthly premium (rates available upon request).
  • Vacation/PTO: MICA has 10 recognized organizational holidays, a floating holiday, three (3) weeks paid vacation, plus 8 additional days of sick/personal leave, per year. Employees are also encouraged to take a “self-care” hour each week during the year.
  • Retirement Plan:

    The MICA Project will match up to 3% of an employee’s monthly income through a SIMPLE IRA plan invested with Thrivent Financial. Thrivent offers eligible employees a range of investment options. Employees become eligible for the plan in the month following the month in which they earn $5,000 in salary income from their employment at MICA.
  • Additional benefits:training budget, the ability to work from home up to two days each week, and travel expenses.
