The Northeast Sustainable Energy Association (NESEA) advances sustainability practices in the built environment by cultivating a cross-disciplinary community where practitioners are encouraged to share, collaborate, and learn. We are a regional nonprofit organization with an office in Greenfield, Massachusetts, and we organize educational events throughout New England, New York State, and online.
We’re hiring for a new staff member who is eager to bring people together to support NESEA’s goals through programs and events. This person will work alongside existing program staff to carry out our ongoing work. Training will involve shadowing and supporting existing staff before taking on more independent work.
The Ideal Candidate Does Not Need To Have a Background In Sustainable Energy Or Building Science, But Should Have a Background That Includes Most Of The Following
- Program and/or event planning and staffing, especially multiple small events throughout the year
- Database and Excel/Google Sheets fluency
- Customer service (may include roles such as food service and/or retail)
- Experience and comfort working in a variety of digital environments, including Google products
- Project management (tracking many details of a project or event)
- General administrative tasks in a nonprofit, academic, or similar office setting
Preferred Additional Experience Includes
- Writing and/or editing
- Grant research, application, or reporting
- Sales or sponsor recruitment
About The Work
Our program and event staff provides planning, logistical, and on-site event support to multiple NESEA programs. The majority of time will be spent planning and staffing our building tour series and our business development program; staff will not be expected to provide content for these programs, but will work to support speakers who have subject matter expertise. Some time will also be spent on tasks related to our annual magazine, our emerging professionals program, and two annual conferences, as well as general administrative tasks as needed.
While the majority of time is remote work for planning and program administration (either from home or from our office in Greenfield), planned travel within our territory to staff events will be required.
Specific Duties Include
- Working with existing staff for event coordination for small scale events (15-50 people), including:
- scheduling, communications, venues, catering, record/receipt keeping, sponsor recruitment, meeting space set-up and breakdown, and other logistical tasks to support the success of events
- Outreach, recruitment, and records maintenance around our scholarship program and business development program
- Tracking components of our magazine program
- Working with other staff to maintain database records
- Tracking expenses related to program activities
- Communication with event sponsors
This position requires an ability to work independently and follow protocols, comfort traveling to and staffing regional events, sociability when interacting with program participants, and excellent organizational, communication, and interpersonal skills. This position does not have any staff supervisory responsibilities but does include coordination of event speakers.
Required Skills/Experience
- Availability and willingness to travel regionally in the Northeast (most travel will be within New England and New York), including some overnight travel
- Valid driver’s license and reliable personal transportation for events required; comfortable driving and navigating in rural and urban environments; willing to take a driving course.
- Ability to lift up and carry to 30 pounds and be on your feet for several hours (with breaks) on event days.
- Ability to follow established procedures and to be comfortable if something needs to change in the moment
- Friendly, supportive and professional attitude toward event attendees and program participants
- Willingness to roll up sleeves and complete tasks as needed
- Ability to communicate with and develop working relationships with our collaborators and program participants
- Willingness to proactively ask questions; interest in NESEA’s mission and vision
- Ability to thrive in a fast-paced environment and ability to prioritize multiple tasks
- Comfort working in a variety of digital environments and ability to adapt to new software (e.g. Microsoft Office Suite, Google Drive, relational databases, Dropbox, etc.), including Excel or Google sheets fluency
- Ability to perform the specific duties listed in this posting.
Preferred Skills/Experience
- At least 1 to 2 years of event planning or other relevant experience, especially with events with tight deadlines and budgets
- Program recruitment experience
- Grant research, writing, or management experience
- Writing and/or copyediting
- Building collaborations between organizations
- Nonprofit experience
