Position Summary

The Part‑Time Grants and Executive Support Specialist advances the Achievement Institute’s fundraising efforts while providing essential administrative support to the Executive Director. This role is ideal for a strong writer who is highly organized, proactive, and excited to contribute to a mission‑driven team in a flexible, part‑time capacity.

The majority of the role focuses on grant writing and reporting, prospect research, and development communications, with additional responsibilities supporting executive operations, scheduling, and coordination.

Key Responsibilities Development & Grants (Primary Focus – ~60–70%)
  • Draft, edit, and prepare grant proposals, letters of inquiry, and funder communications.
  • Maintain a streamlined calendar of grant deadlines and reporting requirements, and submission timelines.
  • Conduct prospect research to identify new foundation, corporate, and government funding opportunities.
  • Assist with preparing attachments, budgets, and supporting documents for submissions.
  • Draft donor updates, impact summaries, and stewardship materials.
  • Track grant metrics, outcomes and gather program data needed for reporting.
  • Support development‑related materials such as one‑pagers, sponsorship decks, and funder briefs.
  • Maintain accurate development records and assist with donor acknowledgments.
Executive Support (Secondary Focus – ~30–40%)
  • Provide administrative and scheduling support to the Executive Director, including calendar management and meeting coordination.
  • Prepare meeting agendas, take notes, and track follow‑up tasks.
  • Assist with board meeting logistics and preparation of materials.
  • Support internal communications and coordination across staff, volunteers, and partners.
  • Help maintain organized digital files, shared drives and administrative systems.
  • Serve as a professional point of contact for external partners and stakeholders.
Qualifications
  • Strong writing and editing skills, especially in synthesizing information clearly and persuasively.
  • Experience with grant writing, development, communications, or nonprofit work preferred.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple deadlines independently in a part‑time schedule and fast environment.
  • Professionalism, discretion, and strong interpersonal communication.
  • Comfort with administrative tasks and supporting senior leadership.
  • Proficient in Microsoft Office and Google Workspace
  • Familiarity with donor databases or CRM systems is a plus.
  • Passion for and commitment to equity, education, STEM access, youth development, or community impact.
