We are seeking an Event Coordinator to support our convening portfolio and the delivery of high-quality corporate events taking place both virtually and in person.

Our Ideal Candidate

Will have experience in event planning, strong organizational and multitasking skills, and a sharp eye for detail. You approach every interaction with professionalism and a customer‑centric mindset, and you value quality, creativity, and resourcefulness. You are also confident with technology, comfortable troubleshooting platforms and tools behind the scenes and during live events – particularly within Microsoft Teams and ON24 – to ensure a seamless experience for both attendees and presenters.

We are a virtual organization and as a remote worker you must be comfortable and able to work 100 per cent of the time from a home office in Canada, with the exception of the requirement to travel to attend events hosted by Signal
49 Research. To be successful as a remote worker you need to have a self‑starter attitude, possess strong organizational and time management skills and be a proactive communicator. Having a home office environment that provides for a productive, professional, and safe work environment during regular working/business hours is a requirement of this role. This includes internet service and a reliable connection.

About

the Role
  • Support the planning and execution of a variety of organizational events, primarily virtual with some in person.
  • Collaborate closely with the Convening Manager/Associate Director and Knowledge Area (KA) teams to deliver seamless and high-quality events.
  • Coordinate all pre‑ , during‑, and post‑event logistics, including registration, speaker support, hotel/venue arrangements, financial tracking, and onsite/virtual operations.
  • Maintain event timelines and schedules; familiarity with project management tools is an asset (training available).
  • Support the management of event‑related digital assets—including websites, registration pages, and CRM entries—ensuring all information is accurate and up to date.
  • Liaise with outside suppliers – such as hotels, venues, and technical vendors – to assist in reviewing supplier contract and confirming event details.
  • Plan and deliver webinars and virtual sessions using Microsoft Teams and ON24, including session setup, prep calls, technical checks, and live technical support for speakers and attendees.
  • Support speaker management by coordinating briefings, gathering materials, and preparing them for live or virtual delivery.
  • Support event budget tracking and assist with monitoring expenses and processing invoices.
  • Help collect and summarize event metrics such as attendance, engagement, and feedback.
  • Work with the Convening Manager to maintain event documentation and process guides to support continuous improvement and future event planning.
About You
  • Post‑secondary education in event management, communications, business administration, or a related field, or a minimum of 2–3 years of relevant experience coordinating events in a professional environment.
  • Strong written and verbal communication skills, with the ability to draft clear, concise, and professional correspondence and event materials.
  • Excellent organizational abilities, attention to detail, and problem‑solving skills.
