The Events Coordinator at Blue Forest plays a pivotal role in organizing impactful events that bolster donor and investor relationships, enhance Blue Forest’s prominence in conservation finance, and facilitate staff and board collaboration. This individual is responsible for managing a diverse portfolio of events, encompassing donor dinners, field visits, and large-scale international gatherings such as NY/SF Climate Week and COP. The position requires adeptness in planning, logistics, and communication, as well as the ability to shape the atmosphere of events to align with stakeholder expectations and organizational goals.
Responsibilities- Research, plan, and execute donor and investor stewardship events, collaborating closely with the fundraising team.
- Lead event design and atmosphere-setting to reflect Blue Forest’s mission and relationship objectives.
- Develop event strategies, agendas, collateral, talking points, and run-of-show documents.
- Coordinate event logistics, including venues, catering, vendors, and RSVPs.
- Serve as the primary contact for event speakers and participants.
- Manage attendee communications and support stewardship follow-up.
- Direct Blue Forest’s presence at major convenings, securing roles and developing engagement strategies.
- Prepare leadership with briefing materials for key attendees and partners.
- Collaborate with the Communications team for event promotion.
- Standardize event and travel processes and establish an event calendar.
- Develop tools and workflows for effective site visit planning.
- Manage Blue Forest swag production and vendor relationships.
- 3–5 years of experience in event coordination and management.
- Experience with fundraising events, conferences, or speaker series.
- Strong skills in vendor coordination and event management platforms.
- Excellent written, verbal, and design communication skills.
- Strong organizational abilities and attention to detail.
- Experience with conservation, impact investing, and/or climate finance events preferred.
- Valid driver’s license and ability to drive.
- Comfortable working independently while collaborating across teams.
