Online Business & Client Manager​/Admin - Remote

East Bay, CA (Remote, Part-Time)

We’re a small but mighty landscape design and installation company based in the East Bay of California, and we’re looking for a proactive, detail-oriented Online Business & Client Manager/Admin to support our growing team.

As we continue to expand, we need someone to help us stay organized, nurture client relationships, and drive marketing and operational efforts — someone who’s not just task-oriented, but also brings ideas, systems, and strategies to help us grow and scale.

You’ll manage the day-to-day behind-the-scenes life of a busy, design-focused landscaping business — keeping leads, clients, and operations running smoothly. You’ll help maintain our systems, support project coordination, spearhead online marketing and visibility, and assist with client communications.

We’re looking for someone who thrives on organization, takes initiative, and enjoys working independently — yet feels deeply connected to supporting a creative, hands-on team.

• Work within our CRM (Dubsado) to track and manage new client inquiries (leads)
• Use our CRM to optimize and improve the client journey for existing clients
• Support project management and administrative coordination
• Perform light billing/invoicing and data entry (Quickbooks)
• Handle additional administrative and marketing tasks as needed
• Create and execute marketing campaigns for lead generation and brand awareness; which may include:
• Design and send monthly email newsletters to nurture our client base (via Brevo or similar)
• Update our website with monthly blogs, photos, and light technical edits (Word Press)
• Plan, manage, and create content for social media (posts, reels, Google Business)
• SEO Updates (if able)

Tools You’ll Need to Know

• Dubsado (or so proficient in a similar CRM/lead management tool that you can convince us to switch over)
• Brevo (or similar email marketing software)
• Canva (for content and newsletters)
• Word Press (basic updates; not full design)
• Google Suite (Docs, Sheets, Drive)
• ChatGPT (for writing and efficiency support)
• Quickbooks (basic billing support)
• Social Media platforms and Google Business Profile

• Experience creating strategic marketing plans for growth and scaling
• Knowledge of SEO and how to help our website rank better on Google
• Experience creating, running, and managing Google/Facebook Ads
• Expertise in web design or development

• Are self-directed and can manage your own time and priorities
• Think strategically and can “see the big picture” while handling details
• Communicate clearly and kindly, both in writing and over phone/Zoom
• Have strong organizational skills and love bringing order to creative chaos
• Can balance consistency with flexibility in a small, evolving business
• Quick learner who already has tools in their toolkit

creating social media content is not the main focus of this role. Our ideal person has deeper experience with CRM management, admin systems, and the daily workings of a growing small business.)
