Position: Event Manager / Coordinator (Freelance / Part-Time / Remote)

~8 hours/week (full-time during event weeks)

We’re looking for a sharp, organised, and creative Event Manager / Coordinator to help us plan and execute world‑class company events — from sales & marketing conferences to internal retreats. If you love orchestrating complex moving parts and creating memorable experiences, you’ll fit right in.

This role reports directly to Ali (Head of People) and will sit next to the People Team/Staff initially, with a planned transition into Marketing over time.

  • Are waiting for permission instead of taking initiative

  • Own the planning and execution of global events: sales & marketing conferences, partner events, and Publitas’ annual retreats. (with onsite ownership during event weeks).

  • Coordinate all logistics, including venues, vendors, travel, accommodations, schedules, catering, AV, event materials, and on‑site execution.

  • Partner with The People team, Sales & Marketing to research, select, and coordinate our participation in relevant SaaS, retail, and eCommerce conferences.

  • Build and manage detailed project plans in Asana, our project management tool, to keep timelines, budgets, and stakeholders aligned.

  • Improve event operations by creating templates, workflows, and checklists that scale across the company.

  • Support event‑week execution: manage vendors, troubleshoot issues, and ensure smooth end‑to‑end experiences.

  • Turn attendee feedback into clear, actionable improvements for future events.

Bonus impact: If you bring industry relationships, SaaS/retail event experience, or multilingual abilities, you’ll help us open more doors and elevate our brand presence.

Who you are…
  • Fluent in English
    .

  • Fluency in an additional language (Spanish, Dutch, German, or French) is strongly preferred.

  • Highly organised, proactive, and “senior” in getting things done.

  • Strong in project management, planning, execution, and stakeholder communication.

  • Confident in managing budgets, prioritising, and keeping details tight.

  • Calm under pressure and solutions‑focused during high‑stakes event weeks.

  • Comfortable navigating ambiguity in a scale‑up environment where structure is still being built.

  • Able to travel internationally without frequent visa limitations. (Especially EU/US travel)

  • Needs to have a strong passport, preferably with 180+ index from this list
