We are currently looking for a Marketing Coordinator. This position is remote and can be based anywhere in the U.S., with a preference for the East Coast. The Marketing Coordinator will support the Marketing and Commercial teams with a strong priority on planning, managing, and executing logistics for regional and national conferences. This role requires organizational skills, strong communication, and the ability to manage multiple deadlines.
In addition to event responsibilities, the Marketing Coordinator will assist with operational tasks including social media scheduling, asset organization, purchasing, CRM data support, reporting, and marketing fulfillment.
- Lead coordination of regional and national conferences, meetings, and trade shows.
- Manage timelines, booth and material shipments, registration deadlines, vendor communication, and onsite support as needed.
- Prepare and maintain rooming lists for internal team members attending events.
- Communicate agendas and event details to internal team members in advance.
- Coordinate marketing materials, logistics, promotional items, and post‑event reporting.
- Track key deliverables, budgets, and internal communications for each event.
- Publish approved content across company social media channels.
- Monitor engagement and route relevant inquiries appropriately.
- Support deployment of marketing emails through Pardot including formatting, list setup, and scheduling.
- Upload lead lists into CRM systems and maintain data cleanliness.
- Provide quarterly lead and performance tracking metrics.
- Organize and maintain marketing files, tools, and documents within shared company platforms.
- Upload assets into the digital asset management system for commercial team use.
- Provide inventory updates to internal teams for brochures, promotional items, and collateral.
- Handle approved corporate card purchases and track receipts.
- Reconcile spend against accounting reporting requirements.
- Coordinate printing and shipping of promotional items and materials needed for commercial activities and conference events.
- Maintain organized records of shipments and inventory status.
- Track and report quarterly marketing metrics, lead activity, and event performance.
- Support additional reporting needs as required.
- Bachelor’s degree in Marketing, Communications, Business, or equivalent experience.
- 1–3 years of experience in marketing coordination, event management, or a related role.
- Demonstrated experience in event or conference coordination strongly preferred.
- Familiarity with CRM systems.
- Highly organized with excellent attention to detail.
- Ability to manage multiple priorities in a fast‑paced environment.
- Strong communication skills and ability to work independently and collaboratively.
