Position Description
The Director of Financial Assistance and Institutional Reporting supports enrollment and retention goals through data management, systems oversight, and collaboration with admission and business office leadership. This position ensures the accuracy, efficiency, and integrity of admission and financial assistance operations from inquiry through enrollment and beyond. Reporting to the Director of Enrollment Management, this position is eligible for consistently‑scheduled remote work during the school year.
Key Responsibilities Financial Assistance- Manage the full scope of the financial assistance program, including annual methodology review, award decisions, and budget management
- Coordinate the application process through Clarity for 500+ applicants annually, including tax return verification, appeals, and status tracking
- Maintain timely, personalized communication with families throughout the financial assistance process and during the school year
- Administer and track all special funding programs, including the Diane Dunning Fund for incidentals and endowed or named scholarships
- Partner with the Business Office to review award decisions, account balances, and reconciliation of allocated funds
- Develop and implement outreach strategies for prospective and returning financial assistance applicants
- Monitor and update financial records, ensuring accuracy in reporting and documentation
- Finalize award notifications, generate reports, and maintain records to support leadership and compliance needs
- Manage seasonal and program‑based funding requests (e.g., book vouchers, Spring Festival, Summer times)
- Update financial assistance methodology and system settings annually in Clarity to reflect institutional priorities and equity
- Ensure alignment with school priorities and enrollment goals and good stewardship of budget
- Generate reports for BOG, senior leadership, admission team, and other departments (e.g., enrollment projections, yield data, survey results, enrollment lists)
- Complete annual reporting (e.g., NAIS, Clarity, Index), and benchmarking analysis
- Partner with the Director of Enrollment Management to monitor yield, attrition, market shifts, and long‑term planning
- Compile post‑event reports to gauge success
- Prepare and submit annual budget requests and monthly updates
- Maintain and manage inquiry, application, and event data in Finalsite; regularly scrub and update records (this will be transitioned to Operations Manager)
- Prepare, release, and support contract processing (first and second round), extensions, and enrollment
- Revise and update settings, checklists, forms, and applications annually Finalsite
- Manage the flow of applicant data through Finalsite, including Committee Review setup and permissions
- Oversee data integrity and process improvements in Finalsite, Blackbaud, and Clarity
- Import and integrate candidate records, parent records, and financial assistance data across platforms
- Conduct regular admission data audits and checklist management
- Strong experience with admissions, enrollment analytics, or financial assistance operations in an independent school setting
- Proven ability to interpret and apply financial assistance formulas and make equitable, mission‑aligned award decisions
- High level of proficiency with Excel and CRM/admission databases (Finalsite, Blackbaud, Clarity, or equivalent)
- Excellent organizational skills and attention to detail, with the ability to manage complex data across multiple systems
- Exceptional time management and ability to meet recurring seasonal deadlines
- Strong communication skills, both written and verbal, with a commitment to empathy, professionalism, and confidentiality
- Ability to work independently and collaboratively, taking initiative and anticipating team needs
