Position Overview Vinnie Mac is a full-service marketing agency helping home service contractors grow through proven digital marketing strategies. We are seeking a detail-oriented Project Manager / Virtual Assistant to support our Operations Manager in coordinating projects, managing tasks, and keeping our fulfillment teams aligned. This role is perfect for someone who thrives in an organized environment, enjoys keeping projects moving, and can communicate clearly across multiple departments.

* Key Responsibilities:

*** Manage Click Up task assignments, due dates, and project workflows.
* Track progress across service teams (SEO, Ads, Content, Design, Web Dev).
* Prepare weekly project status updates and communicate blockers to the Ops Manager.
* Ensure projects are delivered on time, within budget, and aligned with client goals.
* Document processes and update SOPs as directed by the Ops Manager.
* Coordinate schedules, meetings, and follow-ups with internal team members.
* Assist in onboarding contractors and employees (setting up accounts, tools, and access).
* Compile weekly and monthly performance reports for leadership review.
* Support the Ops Manager with administrative and communication tasks.
** Requirements:
*** 2+ years of experience in project coordination, virtual assistance, or operations support (agency background a plus).
* Strong organizational skills with high attention to detail.
* Experience with project management tools (Click Up preferred, Asana/Trello/Notion/Monday).
* Tech-savvy and quick to learn new software.
* Strong written and verbal communication skills.
* Proactive, reliable, and able to work independently.
* Availability to overlap with Central Time business hours for meetings.
** Nice to Have:
*** Marketing agency or digital services background.
* Familiarity with Slack, Click Up, and Google Workspace.
* Basic knowledge of SEO, PPC, or web projects.
** Compensation & Benefits:
*** Full-time, remote position (40 hrs/week)
* Salary based on experience
