The Senior Litigation Docketing Specialist will play a crucial role in managing the procedural and docketing aspects of complex litigation. This position requires someone with a strong docketing specialist and/or paralegal background, particularly those with experience in docketing, e-filing, and calendaring in both state and federal court systems. The ideal candidate will have experience researching legal procedures and case law, with the ability to manage the docketing process for a variety of complex legal matters.

A strong understanding of court rules and filing procedures is essential, as is experience handling high-volume tasks with attention to detail.

Key Responsibilities, including but not limited to:

  • Manage the docketing process, including e-filing, calendaring, and scheduling of litigation deadlines for multiple attorneys.
  • Perform detailed procedural research on complex matters, ensuring accurate filing and compliance with local, state, and federal court rules.
  • Ensure timely and accurate docketing of all case-related events, including hearings, motions, and other critical dates.
  • Research and provide guidance on the procedural requirements for complex matters, including case law and rules when needed.
  • Monitor and maintain court deadlines and filing procedures to ensure compliance with all applicable rules and regulations.
  • Oversee e-filing in both state and federal court, ensuring all documents are filed accurately and on time.
  • Collaborate closely with attorneys and the paralegal pool to ensure all procedural requirements are met.
  • Assist in tracking important dates and deadlines, coordinating with attorneys and other stakeholders as needed.
  • Review and analyze procedural nuances for various jurisdictions to ensure compliance with specific court rules.
  • Provide guidance on service of process, procedural compliance, and the nuances of different court systems.
  • Ensure that attorney offices are properly managed with respect to e-filing, calendaring, and deadlines.
  • Prepare and distribute case status updates related to docketing and upcoming deadlines.
  • Research complex procedural matters, including case law and rules, when the procedures are unclear.
  • Stay up-to-date on changes to court rules, filing procedures, and legal technology relevant to docketing.

Requirements:

  • 5+ years of experience in a docketing and/or paralegal role with a focus on docketing, e-filing, and calendaring in both state and federal courts.
  • Extensive knowledge of legal procedures, court rules, and filing practices, particularly in the context of complex litigation.
  • Strong research skills, with the ability to research procedural rules and case law to ensure compliance.
  • Experience working in a large law firm or mid-sized firm, managing complex litigation matters.
  • National certification in legal procedures or rules, such as NALA (National Association of Legal Assistants), or Board Certification in Texas preferred but not required.
  • Strong familiarity with legal software for case management and e-filing.
  • Ability to work independently and manage multiple tasks in a fast-paced, deadline-driven environment.
  • Excellent organizational and time-management skills, with a high level of attention to detail.
  • Strong verbal and written communication skills.
  • A proactive approach to problem-solving, with a focus on accuracy and compliance.
  • Membership in relevant legal organizations (such as the Houston or Dallas Bar Association) is preferred but not required.
  • A thorough understanding of docketing procedures, case law, and court rules.
  • Willingness to attend in-person meetings and training in Dallas or Houston as required.

Additional Information:

  • This is a fully remote position based in Texas, with some travel to Dallas or Houston for initial training and occasional in-person meetings.
