Job DescriptionThe Second Judicial District is accepting internal and external applications for a full-time Court Operations Specialist within the Court Support Unit in the Criminal Division of Ramsey County District Court. Under the general supervision of a Court Operations Supervisor, this position will perform the full scope of varied clerical duties with primary focus on court support, case processing, provide courtroom support, and assist with training for the entire Criminal Division.
Successful candidates must be able to travel and work onsite at other Ramsey County courthouse locations, including Maplewood and Kellogg Courthouses.
The position is based at the Law Enforcement Center, 425 Grove St. St. Paul, MN 55101, and is primarily on-site with potential opportunities for remote work depending on business needs; a reliable internet connection is required. The hours for this position will be 8:00am – 4:30pm.
This position is responsible for courtroom support within the Criminal Division and provides leadership within the criminal division, primarily supporting courtroom operations. Daily work includes providing work direction, training new and existing employees on courtroom procedures, reviewing clerical work for accuracy and compliance, and reporting to the supervisor on employee progress and performance. The position also works collaboratively with other Court Operations Specialists, Lead workers and Court Operations Supervisors in the Criminal Division and has daily contact with the public, attorneys, advocates, judicial staff, partner agencies and other court stakeholders.
Responsibilities:
The following are examples of major job duties expected of this position.
- Serves as a subject matter expert for court support and ability to be a resource for court operations staff, using advanced knowledge and expertise to answer questions, address complex or unique situations, and solve problems; access a variety of resources to research problems and consult with supervisors on identified issues or trends.
- Provides input on workflow and process improvements; makes suggestions for improved methods using technology; serves as a change influencer.
- Attends and participates in division/team meetings and training; maintains knowledge of court policies, processes, and procedures. May maintain and organize division or county resources and materials electronically.
- Trains new court operations staff on procedures; provides training on new or changed processes or systems; prepares/creates training materials as applicable; spot checks employee work to ensure understanding; will provide training across division.
- Performs the full range of court operations work within the criminal division which may include electronic case processing systems and related applications and equipment.
- Utilizes applicable technology (i.e., operating and information systems and/or programs) and office equipment to perform and complete work assignments.
- Reviews legal documents for completeness, adequacy, accuracy, restricted identifiers, and compliances with rules and/or statutes; determine processing required and takes necessary action in accordance with court rules, statutes, and procedures
- Assures completeness and accuracy of records. Performs quality assurance checks to ensure proper procedures are being followed, including reviewing employee work and quality assurance reports; reports any concerns to supervisor.
- Maintains professional relationships with a wide variety of court users, justice partners, judicial officers, and coworkers.
