* Job Description:

** The Legal Operations Supervisor is a leadership role focused on optimizing the flow of work through our immigration practice. This role partners with Legal Leadership, PMO/Technology teams, and paralegal supervisors to build clarity, standardize processes, and reduce avoidable rework, without compromising legal quality. This is not a traditional senior paralegal role; it is an operations leadership position responsible for ensuring that teams operate efficiently, predictably, and with fewer errors, so attorneys and paralegals can focus on high-value legal work.

* Key Responsibilities:

*
* ● Run weekly operating cadences with supervisors: capacity planning, WIP control, backlog review, and escalations.  
● Own throughput and backlog health across practice lines (T-Visa, VAWA, Removal Defense), including setting clear priorities and SLAs.  
● Maintain dashboards to track cycle times, aging, rework/defect rates, SLA adherence, and internal deadline performance.  
● Standardize workflows, handoffs, checklists, and quality gates to reduce errors and rework.  
● Coordinate cross-team dependencies (attorney review, records, intake, mailing) and resolve bottlenecks through structured escalation.
** Continuous Improvement (CI) & Process Optimization:*
* ● Maintain a prioritized improvement backlog and select high-impact work based on data.  
● Facilitate problem-solving sessions (root cause analysis, countermeasures, pilots) with clear ownership and deadlines.
● Document and standardize validated improvements into SOP’s, checklists, and training materials.  
● Limit active improvement initiatives to 2-3 at a time; maintain a disciplined, data-driven, operating model.
** AI & Automation*
* ● Apply AI tools to operational use cases (summarization, drafting assistance, translation scaffolding, checklist generation) where approved.  
● Ensure AI use complies with confidentiality and tool-approval policies.  
● Partner with PMO/Technology on automation opportunities; own operational requirements, rollout, adoption, and controls.
** Decision Rights & Boundaries
**** Decision Authority:*
* ● Owns day-to-day operational execution and cadence for supervised teams.  
● Can define and enforce SOPs, checklists, templates, and quality gates (attorney sign-off required for legal adjustments).  
● Escalates missed SLAs/approvals and requests tradeoff decisions when demand exceeds capacity.  
● Partners with PMO/Technology for builds and operational adoption.  Out of Scope:  
● Does not provide legal representation or make final legal strategy decisions.  
● Not a primary software developer or system administrator.  
● Not responsible for unrelated
** Required Experience & Skills*
* ● Experience in immigration operations or high-volume, high-compliance legal workflows.  
● Demonstrated continuous improvement experience (Lean/CI principles).  
● People leadership: coaching supervisors, setting expectations, and driving accountability.  
● Strong quantitative, analytical, and systems-thinking skills.

Core Competencies:

● Coaching & developing supervisors; building ownership at the front line.  
Change management: communicating the “why” sequencing, and reinforcing adoption.  
Conflict resolution and cross-functional alignment.  
● Metrics fluency: defining KPIs, building scorecards, and data-driven decision making.  
● Operational writing: SOPs, checklists, training materials, and requirements documentation.
