Overview
The Benefits Support Coordinator focuses on insurance coordination and financial clarity for gestational surrogates, egg donors, and intended parents. You are not managing escrow or moving money. Your job is to ensure the right reviews happen, the right questions are answered, and everyone involved understands what is covered, what is not, and what to expect financially.
You will work closely with the journey management team, clients, and other professionals, to keep cases clean, documented, and aligned.
This is a detail-heavy role that requires follow-through, persistence, and the ability to explain complex information in a calm, straightforward way.
What You’ll Do Insurance Coordination- Act as the main insurance contact for gestational surrogates and egg donors once they have completed evaluations.
- Collect, review, and organize full insurance plan documents and benefit summaries.
- Work with legal teams to confirm insurance policies meet surrogacy and egg donation requirements.
- Track down missing plan documents and coverage details, using all available channels when information is hard to obtain.
- Coordinate maternity, medical, life, and complication insurance as needed per case.
- Complete ACA or maternity policy applications when primary insurance is denied, excluded, or too costly.
- Communicate with insurance carriers, brokers, clinics, and billing offices.
- Track coverage dates, exclusions, authorizations, and dual-policy coordination.
- Help address denied claims and coverage questions.
- Make sure required financial reviews are completed for intended parents, surrogates, and egg donors.
- Review case financial summaries for accuracy and completeness.
- Explain expected expenses, reimbursements, insurance-related costs, and general timing.
- Confirm intended parents understand program fees, insurance premiums, and out-of-pocket responsibilities.
- Confirm surrogates and egg donors understand reimbursement categories, documentation requirements, and payment timing.
- Flag gaps, inconsistencies, or misunderstandings early and escalate as needed.
- Document financial education and acknowledgements clearly in internal systems.
- Serve as a steady point of contact for insurance and financial questions.
- Keep case notes and documentation organized and up to date in CRM and file systems.
- Protect confidentiality and handle sensitive information appropriately.
- Provide regular updates to internal teams when issues or risks arise.
- High school diploma or equivalent.
- At least 2 years of experience in insurance verification, medical billing, healthcare administration, or a related role.
- Solid understanding of insurance benefits, claims, and healthcare coverage.
- Strong attention to detail and follow-through.
- Clear written and verbal communication skills.
- Comfortable explaining complex information to clients who may be stressed or overwhelmed.
- Ability to juggle multiple active cases without losing accuracy.
- Experience working in CRM systems and managing documentation.
- Compensation:
