We are seeking a customer-focused Intake Specialist to serve as the first point of contact in our background investigation process. In this role, you will play a critical part in ensuring timely and efficient service delivery by facilitating seamless case intake and handoff.
Responsibilities- Case Intake & Data Management – Serve as the initial point of contact for incoming background check requests, ensuring accurate data capture and case setup.
- Interdepartmental Coordination – Work closely with Investigative Analysts and Verifications teams to ensure smooth handoffs and consistency in service delivery.
- Data Validation & Accuracy – Review and validate incoming client information, addressing missing details to minimize delays.
- Case Management & Record-Keeping – Maintain accurate intake records in Clarity
IQ, our case management system. - Prioritization & Time Management – Manage intake tasks based on client requirements, service standards, and deadlines.
- Client Communication & Support – Engage with clients to clarify initial information, fostering strong relationships and proactive communication.
- Process Improvement – Contribute to ongoing enhancements in intake processes to improve efficiency and client satisfaction.
- 1+ years of experience in intake, customer service, or administrative roles (experience in healthcare, social services, legal, or background screening is a plus).
- Strong attention to detail and accuracy in data entry and record-keeping.
- Effective communication skills (both written and verbal) with a customer-first approach.
- Tech-savvy – Comfortable using case management systems or CRM software (experience with Clarity
IQ is a plus). - Ability to adapt to evolving processes and priorities in a dynamic work environment.
- Critical Thinking – Ability to evaluate information accurately and make informed decisions.
- Clear Communication – Strong verbal and written skills for client and team interactions.
- Attention to Detail – Commitment to thorough and accurate data handling.
