NVE is a government contractor, seeking a highly organized and experienced HR Assistant with 4+ years of HR experience to support employees throughout the full employment lifecycle from offer coordination through offboarding. This role is critical to maintain compliance, supporting union and non-union employees, and ensuring a responsive and professional HR function for both domestic and OCONUS personnel. The ideal candidate understands the structure, documentation, and regulatory requirements within a government contracting environment and can work independently.
Key Responsibilities Offer & Onboarding Support- Route offer letters for internal review and approval (offer letters are generated by management)
- Send approved offers to candidates and follow up on outstanding documentation
- Initiate and track onboarding for domestic and OCONUS employees
- Process new hires in UKG
- Upload onboarding documentation to Microsoft SharePoint for Accounting
- Maintain and update HR forms within the UKG Library
- Reset UKG passwords and process employee data changes
- Upload and manage employee documentation in HR systems
- Respond to UKG system notifications
- Track, maintain, and file required compliance reports, including:
- EEOC reporting
- VETS-4212 reporting
- ISO training records
- Ensure timely submission and proper recordkeeping of all regulatory and internal compliance documentation
- Conduct exit interviews for domestic employees
- Support new hires throughout onboarding
- Process employment verification requests
- Support union-related administrative matters and maintain documentation in accordance with collective bargaining agreements
- Send company-wide communications via Constant Contact
- Answer and manage calls on the main phone line
- Manage the Udemy training portal
- Track completion of required, compliance, and ISO-related training
- Order office supplies
- Coordinate flowers or care baskets for employee bereavement or illness
- Process employee travel arrangements
- Submit Workers' Compensation claims
- Provide backup support for the OCONUS HR Assistant
- Support additional HR initiatives and special projects assigned
- Minimum 4+ years of progressive HR or HR administrative experience required
- Experience supporting both union and non-union employees
- HRIS experience required; strong experience with UKG and isolved
- Experience with Share Point
- Experience filing compliance and government-required reports
- Solid understanding of HR compliance requirements within a government contracting environment
- Excellent communication and customer service skills
- Strong organizational skills with exceptional attention to detail
- Ability to handle confidential and sensitive information with discretion
- Self-starter who works independently in a remote environment
- Comfortable managing multiple priorities in a fast-paced setting
