Join Us as a Payroll Specialist

We are seeking a detail‑oriented and organized Payroll Specialist to join our growing team  this role, you will oversee and manage payroll processes to ensure accurate and timely payment for our employees. As our company continues to expand rapidly, this position offers the opportunity to make a meaningful impact by improving processes and supporting both Finance and HR.

What You’ll Do
  • Manage and process bi‑weekly payroll for 700+ employees, supporting projected organizational growth over the next two years.
  • Ensure accuracy of onboarding data, salary adjustments, overtime, bonuses, and payroll deductions, including frequent bi‑weekly changes.
  • Process off‑cycle and late payments while resolving payroll discrepancies promptly and effectively.
  • Respond to employee payroll inquiries with professionalism, accuracy, and a strong customer service focus.
  • Partner with HR and Scheduling teams to maintain seamless payroll operations and data integrity.
  • Complete employment verification requests accurately and within established timelines.
  • Prepare detailed payroll reports for HR, senior management, and internal audit purposes.
  • Ensure compliance with all federal, state, and local payroll regulations and tax requirements.
  • Review, reconcile, and approve payroll reports to maintain accuracy and internal controls.
  • Utilize advanced Microsoft Excel functions (VLOOKUP/XLOOKUP, Pivot Tables, complex formulas, data validation) to analyze payroll data, identify discrepancies, and generate accurate reports.
  • Develop and maintain automated Excel‑based payroll tracking and reconciliation tools to improve efficiency and reduce manual errors.
  • Conduct internal payroll audits to ensure data integrity, tax compliance, and adherence to company policies and regulatory standards.
  • Support external and internal audit requests by preparing reconciliations, variance analyses, and supporting documentation.
  • Analyze payroll trends, overtime patterns, and labor cost data to provide actionable insights to leadership.
What You’ll Need
  • Proven experience as a Payroll Specialist (multi‑state experience preferred).
  • Proficiency with payroll software and Microsoft Office, with advanced Excel skills.
  • Strong analytical and problem‑solving abilities.
  • Exceptional attention to detail and accuracy.
  • Excellent communication and customer service skills.
  • Ability to handle sensitive and confidential information with integrity.
  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
  • Experience with Paylocity is a plus.
Work Location & Hours

This is a full‑time position that will be on‑site on our Kearny, NJ location. The core hours are 8:30am to 5:00pm.
