Job SummaryThe Human Resources (HR) Coordinator will provide essential support to the School of Veterinary Medicine (SVM) HR Team, assisting with various administrative tasks and contributing to the smooth operation of HR processes. The HR Coordinator will be responsible for executing a range of HR responsibilities from a collaborative, customer-service-oriented perspective including but not limited to:
- Oversee new hire onboarding such as I-9 completion and background checks.
- Enter and process Student Hourly hires.
- Support and promote compliance with SVM and UW Madison policies and procedures.
- Providing back-up to other HR staff activities as needed.
- Completing HR projects as assigned, including reports, employment letters, and initiating various business processes in Workday.
This is being posted as a 75-100% FTE. Work hours generally scheduled Monday-Friday from 8:00am - 4:00pm. This position is eligible for partial remote work or fully onsite. For partially remote, you will be required to be onsite Mondays, Tuesdays, and rotating Fridays. Remote work requires an approved remote work agreement (RWA). An RWA requires successful candidates to possess their own high-speed internet and phone to perform the work on a university provided computer.
Per University policy, transportation between home and assigned work location is not payable/reimbursable and will be at the expense of the employee.
This position has the possibility to be extended or converted to an ongoing appointment based on need and/or funding.

Key Job Responsibilities- Serves as a point of contact to employees, managers, and internal and external stakeholders. Responds to inquiries and escalates more complex issues to the appropriate authorities 5%.
- Provides administrative support to the HR Director. 15%.
- Creates and maintains various HR specific reports, databases, and/or records to ensure compliance with established policies, procedures, and legal rules and regulations 10%.
- Manages the dissemination of HR related communications to various audiences under the direction of leadership 10%.
- Schedules logistics and secures resources for recruitment processes, onboarding activities, payroll functions, and/or other HR related activities 15%.
- Audits and tracks compliance for various HR functions such as performance evaluations, onboarding, off boarding, criminal background checks, and credentialing 30%.
- Enters, reviews, and processes HR transactions according to established policies and procedures 15%.
University of Wisconsin, Madison - School of Veterinary Medicine - Human Resources
Compensation- Minimum $25/hr, commensurate with experience and qualifications
- 2+ years experience in Human Resources or Administration
- Strong organizational and communication skills
- Strong interpersonal and collaborative skills are essential, as this role involves close coordination with other services and sections within the hospital
- Strong attention to detail with ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Workday experience highly preferred, including initiating business processes, running reports, and entering and maintaing accurate data
- Knowledge and experience with visas, including J-1s, H-1
Bs, TNs - Experience managing onboarding, including I-9s and background checks
- HR experience in higher education
- Advanced experience with Excel formulas and functions, including Pivot Tables and VLOOKUP
- High School Diploma required
- Bachelor's Degree strongly preferred
