The Payroll Specialist is responsible for processing multi-state payroll accurately and efficiently on a weekly and bi-weekly basis. This role ensures compliance with federal, state, and local regulations while maintaining accurate records and providing support to employees regarding payroll inquiries. The Payroll Specialist collaborates with various departments to ensure proper job coding, payroll deductions, and reporting.

- Process payroll efficiently and accurately, ensuring compliance with Davis-Bacon and Union payroll requirements.
- Maintain accurate employee payroll records and ensure compliance with federal, state, and local payroll regulations.
- Generate and review weekly timecard approval reports for Executive review.
- Collaborate with Project Managers and Construction Managers to resolve payroll and timecard discrepancies.
- Provide accurate and professional communication to employees regarding payroll inquiries.
- Maintain and update direct deposit information within payroll and expense systems.
- Administer employee time off and leave accruals.
- Ensure strict confidentiality of payroll records and employee information.
- Assist with annual payroll audits and reporting requirements.
- Maintain and respond to employment verification requests.
- Positively contribute to ESI’s culture through collaboration and engagement.
- Associate or bachelor’s degree preferred, or equivalent combination of education and experience.
- 4+ years of payroll processing experience, with preference for Certified and Union payroll experience.
- Strong data entry skills with attention to detail.
- Proficiency in Microsoft Office, particularly Excel and Outlook, and experience with accounting/payroll software.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to analyze and resolve payroll issues effectively.
- High level of confidentiality and professionalism.
- Ability to work independently in a fast-paced, deadline-driven environment.
- Strong problem-solving skills with a proactive approach.
- Ability to represent ESI professionally and maintain integrity in all payroll matters.
