Overview

We have a fantastic opportunity for an Assistant HR Advisor to join our experienced and friendly HR Advisory and Business Partner Team in our Trust’s Lead Employer Service. We are the largest Lead Employer in the country employing approximately 13,000 Resident Doctors and Dentists in specialty training across a national geography. Our Lead Employer Model is focused on improving the working lives of Colleagues-in-Training and is a collaborative model with three major stakeholders:
Lead Employer, Host Organisation, and NHS England Education.

The role involves working with HR Advisors to support NHS England Education regions, focusing on workforce health and wellbeing by managing sickness absence in line with policy.

Responsibilities include administration, data analysis, and system projects to ensure consistent HR operations.

Responsibilities
  • Be one of the main points of contact within the HR Advisory Team and engage with stakeholders regarding attendance management processes and provide necessary support.
  • Monitor sickness absence triggers and highlight to relevant stakeholders to ensure reviews are held within set timescales.
  • Attend meetings to provide HR advice to management regarding absent staff or staff with repeated absences.
  • Work with HR Advisors in 1:1 training for stakeholders.
  • Provide advice and guidance to managers regarding information collated through analysis of HR metrics/statistics, highlighting trends within a department and individual records.
  • Produce and analyse management information reports to assist Host Organisations with managing attendance/health matters for doctors, dentists, and Public Health in specialty training.
  • Undertake administration and procedural tasks as required by Assistant HRBP and HRBP Team.
  • Take notes at meetings as required, including disciplinary, ill-health capability and LNC meetings.
  • Contribute to review and continuous improvement of absence-related Policies and Procedures.
  • Seek customer service feedback and make recommendations to the HR Advisors and Business Partners.
  • Collaborate with NHS Education England, Doctors in Training, Host Organisations, Health, Work and Well-Being Department.
  • Coach and guide managers on absence processes, emphasising good record keeping and data protection.
  • Coordinate and signpost employees to relevant support services (internal and external) including Health, Work and Well-Being, Employee Assistance Provider, mediation, etc.
  • Ensure adherence to Trust policies and standards and legislative requirements within defined boundaries.
  • Support managers with less complex employee relations cases in line with policy.
Communication
  • Communicate training to managers regarding absence procedure, systems management and policy.
  • Communicate Lead Employer HR Advisory services to employees and stakeholders to ensure adherence to policies.
  • Support stakeholders and provide HR advice in meetings with employees and communicate policies to ensure consistent procedure.
  • Escalate complex matters to the HR Advisor/Assistant HR Business Partner.
  • Maintain confidentiality and communicate effectively using letters, email and conversation.
  • Maintain regular contact with referring stakeholders regarding advice given to employees and assist in queries.
Quality of Service
  • Protect access and ensure confidential handling of information.
  • Propose changes to working practices and identify areas not meeting required standards.
  • Record feedback from employees/stakeholders and share with the HR Business Partner Team.
Administration
  • Generate statistical information, letters and reports relevant to the HR Advisory Team.
  • Maintain accurate electronic data via trackers and relevant systems, recording administrative details on employees.
  • Monitor attendance management activity and ensure paperwork is completed (return to work interviews, self-certificates, fit notes) with the Absence Support team.
  • Support the HR Advisory Team and Assistant HR Partners to monitor management information within standard workforce reports (ETWD compliance, Employment Checks, Fixed term contracts, attendance management).
Supporting the Business
  • Contribute to the development of the HR plan aligned to service delivery objectives and standards for the Lead Employer Service.
  • Provide workforce information to enable the development of workforce plans.
  • Represent the service at meetings and stakeholder events as nominated by management.
  • Maintain and develop professional HR services, systems, records and quality/control procedures.
