Inner Circle Agency is a boutique recruitment firm based in Montreal, placing top talent in legal, executive assistant, and tech roles across North America. The agency is led by an experienced recruiter and former Head of HR and Finance, known for her sharp instincts, hands‑on style, and deep commitment to making recruitment more human and relationship‑driven.
As we scale, we are hiring someone who can confidently take on both executive support and candidate recruitment responsibilities.
This is a dual‑role position split evenly between Executive Assistant and Recruiter tasks. You will support the agency’s founder with day‑to‑day operations while also contributing directly to sourcing, interviewing, and coordinating candidates for corporate roles. This position is ideal for someone organized, proactive, and experienced in North American recruiting.
Key Responsibilities Recruitment (50 percent)- Source candidates via Linked In and other platforms for open roles
- Conduct pre‑screen interviews and draft candidate summaries
- Format resumes and prepare profiles for submission to clients
- Post and update job ads
- Track candidate activity in the applicant tracking system
- Coordinate client‑candidate interviews and follow‑ups
- Manage inboxes, calendars, and scheduling for the agency founder
- Draft and proofread documents, proposals, and contracts
- Prepare reports and organize candidate data
- Assist with internal project tracking and CRM updates
- Help optimize templates, workflows, and administrative systems
Required:
- 2 or more years of experience recruiting for corporate roles in the U.S. or Canada (ideally within a recruitment agency)
- Strong written and verbal communication in English
- Excellent organizational and time‑management skills
- Proficiency with Linked In Recruiter, Google Suite, and task or project management tools
- Ability to work independently and manage both recruitment and administrative tasks
- Available to work full-time on EST (9:00 AM to 5:00 PM)
Preferred:
- Experience working remotely with a North American team
- Experience in a boutique agency setting
- Familiarity with legal, administrative, or tech industry recruitment
- Bilingual in French and English
