As our Scheduling Coordinator, you will be the heartbeat of our agency, ensuring that Caregivers and Clients are perfectly matched for optimal care. Your strong communication skills, critical thinking abilities and calm demeanor under pressure will significantly contribute to the smooth operation of our Services. You’ll be the friendly face that keeps our Schedule running seamlessly!
Schedule Coordination matches Care Partners with Clients based on individual needs and preferences. Experience with Axis Care/Well Sky is a plus; training will be provided and supported by the Management Team
Key Responsibilities- Serve as the primary point of contact for Care Partners, Clients & their family members
- Collaboration with Care Team and Client/Authorized Agent, including Case Managers, to ensure Premium Customer Care
- Assist with recruiting, hiring & orientation in the office, training, and managing new staff as needed in partnership with the RN & Executive Director of Care Services
- Keep accurate records of Client schedules and Caregiver assignments within the scheduling platform
- Manage documentation of all interactions with Clients/Authorized Agents and Care Partners within the platform to maintain consistent messaging and support
- Problem-Solving/Thinking outside the box approach to scheduling conflicts and staffing shortages as needed
- Monitor Caregiver performance and gather feedback from Clients to ensure Customer Satisfaction
- Identify areas for improvement in scheduling processes and implement effective solutions within the department
- Work with Payroll and Billing Departments on any issues related to Caregiver pay or Client billing concerns
- A High School diploma or equivalent;
College degree preferred but not required - Minimum of one year of experience in Scheduling or Office Management is required, preferably within the Home Care Industry
- An upbeat and energetic personality ready to help at a moment's notice
- Highly organized with exceptional attention to detail
- Excellent communication skills, both written and oral
- Strong problem-solving abilities along with organized time management skills
- Comfortable using Microsoft Office products and other computer programs
- Knowledge of Home Care Regulations, Hospice, and Care Management is a plus!
Working Conditions
This position is primarily office-based within our Home Care Agency office suite located in Herndon, VA
Occasionally, visits to Clients’ homes and Healthcare Facilities are required in and around the NOVA area
Periodically, work-from-home opportunities will be available at the Executive Director's discretion
On-Call evenings and weekends is required on rotation to ensure all Care Partner shifts are intact at all times
Travel within the local area for meetings outside of the main office may be required.
