OverviewThe Home Care Scheduler is responsible for coordinating caregivers and clients to ensure seamless and continuous care. This role supports both caregiver and client onboarding and ensures all visits are scheduled accurately and compliantly. When caregiver-client matches run smoothly, the role is straightforward; however, when challenges arise, the scheduler must act quickly, remain organized, and manage details with precision.
Key Responsibilities- Schedule Client Visits:
Enter all visits into the agency's software while verifying authorized hours, selecting correct authorization types, and ensuring alignment with the care plan. Handle cases with multiple authorizations and ensure accurate usage based on client and caregiver eligibility. Monitor total authorized hours and prevent over-scheduling - Handle Call Outs & Coverage:
Respond immediately to caregiver call outs by contacting eligible caregivers, verifying authorizations, and securing timely coverage. Manage last-minute changes under pressure - Match Caregivers With Clients:
Evaluate caregiver-client compatibility and replace caregivers when needed. Address chemistry issues with professionalism and sensitivity - Recruit Caregivers:
Assist in recruiting caregivers to ensure a strong staffing pool for shift coverage, call outs, and new cases - Maintain Strong Communication:
Communicate daily with clients and caregivers. Be proactive, responsive, and clear in addressing questions, needs, and changing situations - Maximize Utilization:
Ensure all authorized hours are fully used without exceeding limits. Schedule precise visit lengths to maintain compliance
- Extremely detail-oriented and highly organized
- Strong ability to multitask in a fast-paced environment
- Excellent communication skills (with a very slight accent preferred for client-facing work)
- Strong problem-solving skills
- Ability to learn and understand complex authorization structures
- Reliable, responsive, and consistent in communication
