Pain Service Administrator & Coordinator

An opportunity has arisen within The Robert Jones and Agnes Hunt Orthopaedic Hospital NHS Foundation Trust for Pain Service Administrator & Coordinator support development of a world class pain service at one of the leading specialist hospitals in the United Kingdom.

The Pain Management Service will be integral to patient recovery, functioning as a key element of perioperative care, non-surgical treatment pathways, and complex rehabilitation.

We are seeking an enthusiastic administrator with experience in supporting a multi-disciplinary service to contribute to the service innovation, and multidisciplinary collaboration, being committed to the service delivering high-quality care, teaching, and research.

Pay Banding subject to NHS Terms and Conditions Job Evaluation.

Main duties of the job

The postholder will provide a proactive and comprehensive administrative service to a multidisciplinary pain service working autonomously, enabling the service to operate effectively and efficiently. This includes supporting key meetings (formal minute taking, organising and planning for events, maintaining meeting documentation) and ensuring stakeholder experience is positive.

Independent prioritisation of workloads, quick attainment of a good understanding of the pain service, and flexible approach to work are required. Tasks will be undertaken efficiently and to a high standard.

Confidential and sensitive handling of all work, attention to detail and accuracy, and preservation of coordination of patient referral processes are essential.

Responsibilities

Provide administrative support to the pain service, including processing referrals, booking outpatient and inpatient appointments, ensuring clinics are booked, liaising with clinicians to meet waiting times and deliver excellent patient experience.

Communicate treatment approach to patients and others as required.

Deal with all referrals in a timely manner, ensuring correct recording and handling.

Administer waiting lists under clinical guidance.

Ensure all appointments are checked in and out promptly with the correct RTT outcome code.

Request information from GP surgeries in a timely manner before the patient’s initial appointment.

Experience
  • Experience working effectively within a multidisciplinary team and environment.
  • Previous experience of Medical Records / Outpatient bookings.
  • Leadership experience.
  • Ability to work closely with all team members to ensure smooth running of the pain service from an administrative point of view.
  • Ability to manage a busy workload where accuracy and attention to detail are essential.
  • Ability to work flexibly to meet the needs of the service.
  • Ability to work without direct supervision, using own initiative and being a team player.
  • Influencing skills and ability to gain respect and credibility within the multidisciplinary team.
  • Able to use a variety of hospital computer systems, including PAS, SF4 and Bluespier.
Knowledge
  • Experience and knowledge of administrative procedures within a multidisciplinary pain service.
  • Knowledge of hospital systems.
  • Knowledge of NHS RTT Targets and patient record systems.
Qualifications
  • Education to GCSE level or equivalent (incl. Maths and English). NVQ Level 3 or equivalent experience.
  • Demonstrable commitment to continuous personal development.
