Overview
The Community Paediatric and Neurodevelopmental Pathway Service is recruiting an Operational Support Manager on a 12month Fixed-term or Secondment basis. The post-holder will support key operational functions and specific projects and transformation work across the Community Paediatric and ASD and ADHD Services.
Responsibilities- Provide operational management expertise to the administrative functions across the services, ensuring that a comprehensive administration service is provided to clinical staff and families within the division.
- Support the Operational Manager on the delivery and implementation of the Neurodevelopmental Pathway and the Service Transformation Programme to deliver sustainable change as well as creating efficiencies with particular focus on productivity, clinic utilisation, capacity and demand, cost improvement plans (CIP) and communications and marketing.
- Support the Operational Manager in the monitoring of patient waiting lists and activity across Community Paediatrics and Neurodevelopmental Pathway. Ensuring compliance with service specifications and targets such as 18 week referral to treatment, SEND and Children in Care statutory requirements, ASD all age and ADHD data and waiting lists.
- Use a range of IT systems and databases to closely monitor and analyse capacity and demand and clinic utilisation across Community Paediatrics, and Neurodevelopmental Pathway. Work with the Operational Manager to identify opportunities to maximise clinical capacity and efficiencies.
- Have oversight of operational performance issues across the services and work with teams to standardised practice and improve efficiencies.
- Work collaboratively with external providers, ensuring that key performance targets and statutory requirements are met.
- Investigate Datix Incidents and complaints in relation to the areas of responsibility. Ensure investigations are completed in time. Review with the teams any themes from the Datix re similar issues and apply lessons learnt.
- Lead service improvement for administrative functions.
- Contribute to service transformation across the services.
- Work closely with clinical teams to ensure administrative support meets service requirements.
- Works independently and can maintain concentration for prolonged periods of time.
- Provide staff with day to day management and ensure supervision arrangements are in place including timely management and recording of sickness absence, other absence, requests for study and annual leave etc., adhering to HR policies and procedures.
- Play an active role in the selection and recruitment processes for new Administration services staff, ensuring that recruitment is completed within specified timescales.
- Ensure supportive staff management arrangements are in place and carry out appraisals/personal development reviews (PDR's) for direct reports. Ensure all staff in your team/s have annual PDR's resulting in specific objectives and effective personal development plans.
- Develop staff knowledge and skills to promote equality and diversity and address inequalities both in employment and service delivery. Ensure specific equality objective are included in PDR's.
- Develop a working culture that ensures Health and Wellbeing and promotes a 'Great Place to Work' and Learning for staff.
- To undertake other duties commensurate with this grade of post in agreement with the relevant line manager.
