Position: Office Supervisor - Dermatology (Marietta, GA)

Office Supervisor - Dermatology (Marietta, GA)

We’re seeking a friendly, organized, and dependable Office Supervisor to join our North Atlanta Dermatology office in Marietta, GA. This is an in‑office, patient‑facing role that supports daily front‑desk and back‑office operations while serving as a point person for escalated patient concerns, provider needs, and office coordination.

This is a full‑time, onsite medical receptionist role.

Schedule:

• Monday‑Thursday: 8:00 AM–5:00 PM (1‑hour lunch)

• Friday (will be in Duluth or Cumming office): 8:00 AM–4:00 PM

• Training:
First 2‑3 months in our Duluth office (mileage reimbursement provided)

• Occasional Travel:
To our Cumming dermatology office for coverage as needed (mileage reimbursement provided)

Responsibilities

We are seeking a professional, bright, and enthusiastic person with excellent people and communication skills. You will play a vital role not only in the efficient operation of our practice but also help to shape patient experience through your friendly, professional, and attentive interaction with each patient. You will coordinate the flow of patients through the office, assist patients with payments, help with billing and insurance information, schedule appointments, maintain patient charts, and perform various other administrative tasks.

  • Greet each patient in a pleasant and professional manner.
  • Take care of ordering in the office.
  • Handle patient issues and provider concerns.
  • Oversee the workflow of front and back office.
  • Screen calls, schedule appointments and referrals.
  • Take accurate, concise phone messages.
  • Enter complete patient demographics when making appointments.
  • Evaluate chart data to verify all information has been received, completed and signed.
  • Check‑in and check‑out patients.
  • Track patients in the reception area and communicate with patients as needed.
  • Proactively collect patient payments.
  • Update product inventory weekly.
  • Always treat patients with dignity and empathy.
  • Fulfill inventory orders.
  • Discuss end‑of‑day reports & balance payment totals.
  • Distribute incoming reports and correspondence in patient charts.
  • Ensure all phone messages, faxes, and interdepartmental mail are addressed immediately.
  • Assist other staff as needed.
  • Other duties assigned as deemed necessary by management.
Qualifications
  • High School Graduate or GED (required).
  • 1–3 years recent experience as a Medical Receptionist in a clinical or surgical setting (preferred).
  • Previous experience in Dermatology (preferred).
Skills & Abilities
  • Excellent customer service and communication skills.
  • Knowledge of HIPAA standards.
  • Ability to manage multiple tasks simultaneously.
  • Excellent organizational and time‑management skills.
  • Ability to function well in a fast‑paced and at times stressful environment.
  • Detail‑oriented.
  • Working knowledge of multi‑line phone system.
  • Able to operate standard office equipment (computer, fax, copier, scanner).
  • Intermediate computer skills and experience in EMR utilization.
  • Fluent in English.
  • Ability to sort and file materials correctly alphabetically or numerically.
  • Ability to travel to and provide coverage for other local offices as needed.
Physical Requirements
  • Sitting, some standing, stooping and reaching.
  • Manual dexterity sufficient to operate a keyboard.
  • Correctable vision to 20/20 and hearing within a normal range for telephone contacts.
  • Lifting and carrying up to 30 pounds.
