Manatee is a family‑first, virtual clinic providing child, family and parent therapy, and tools to empower modern families. As the Practice Operations Manager, you will partner with the Operations & Clinical Leaders to scale Manatee’s practice and provider base while maintaining quality, compliance, and efficiency. This role ensures our clinical operations, people experience, and service delivery processes are structured, documented, measurable, and continuously improved – enabling clinicians and the broader team to do their best work and families to have a seamless experience, making a direct impact on children and families across the US.

About the Role:

This role focuses on execution and enablement – building the processes, workflows, and operating cadence that support a seamless provider and client experience as the practice scales. It’s a hands‑on role ideal for someone who enjoys creating clarity, improving workflows, and ensuring day‑to‑day operations run smoothly. You are not afraid to take action and proactively improve employee and patient experience.

What You’ll Do:
  • People Operations:
    • Create consistent, structured experiences for new employees joining our Mana Team
    • Own the onboarding journey from offer acceptance through first 30 days
    • Maintain onboarding checklists, training modules, and account setup
    • Coordinate with recruiter, office manager, and supervisors on role handoffs
    • Manage SOPs, policies, and documentation of “how we work”
    • Track onboarding completion, experience surveys, and feedback loops
    • Contractor payroll and accounts payable (support from Office Manager)
  • Practice Operations:
    • Document and maintain SOPs for clinical and operational workflows
    • Continuously improve provider experience by identifying friction points, monitoring success metrics, and driving gains in speed, satisfaction, and reliability
    • Clinical Ops (launch AI charting notes, update payer workflows, SOPs, etc)
    • Clinical Compliance (QA/Audits with RCM Lead, policy change management)
    • Provider Admin (manage and monitor provider licensure and support RCM manager with payer enrollment)
  • Practice Program Management:
    • Manage project plans for operational initiatives and launches (e.g. HMO, or Medicaid rollout)
    • Build and maintain company knowledge base
    • Run vendor cadences, QBRs, and issue escalation in partnerships with the team SME
    • Provider Operations – partner with Ops & Clinical Leader on provider productivity, capacity planning (monitoring and adjusting), and provider schedule management
About You:
  • 3–6 years of experience in healthcare operations, clinical operations, practice management, or a similar role
  • Highly organized with strong attention to detail
  • Comfortable managing multiple work streams and following through on execution in a dynamic environment
  • Clear communicator who enjoys coordination with a diverse set of partners (clinical, operations, patients, etc)
  • Process-oriented and motivated by making systems better (excited about the possibilities of automations and AI‑powered solutions)
  • Experience with provider licensing and / or credentialing is a plus (but not required)
  • Comfortable using technology platforms and guiding others through digital tools

Compensation:

$65,000–$85,000 in alignment with healthcare and operations experience.
