A strong Billing Services Coordinator is personable, clear in their communication, and able to build positive working relationships with mental health providers. They balance warmth with professionalism, ensuring customers feel supported while maintaining healthy boundaries. They understand how mental health clinics operate and can navigate the day-to-day needs that keep an account running smoothly.
This role requires someone who is highly organized, efficient, and proactive. The ideal candidate keeps billers informed, ensures customers have what they need, and addresses issues before they become problems. They are confident enough to be direct when necessary, steady enough to handle challenges, and committed to the overall success of the accounts they oversee.
Responsibilities- Follow all security policies and procedures set in place by Breezy Notes including but not limited to HIPAA compliance and the State of Minnesota compliance requirements re:
Protected Health Information (PHI). (Breezy Notes will provide you with training in this area.) - Respond to all customer requests in a timely manner after the request has been completed, scheduled or forwarded to the proper person.
- Check client benefits and eligibility as requested by customers and your manager and enter that data in Breezy Notes EHR.
- Interface with our Billing Services subcontractors.
- Coordinate customer needs with team.
- Communicate with customers in a timely manner when any issues found during weekly payments posting, denial/rejection capture, or as requested.
- Communicate with customers in a timely manner when issues are assigned to you during the monthly account audit.
- Schedule and lead monthly account reviews to go through customer audits and invoicing with the customer.
- Submit invoicing on behalf of the customer.
- Generate follow-up tasks for Billing Services team members.
- Be open to learning new skills and ways of improving.
- Communicate with staff or staff supervisors if internal or external issues arise that you feel need to be addressed.
- Advocate for your accounts.
- Knowledge and understanding of medical billing for mental health
- Experience with electronic health records software
- Self-motivated and organized
- Timely, clear communication with colleagues and customers
- Healthcare clearinghouse experience
- Experience with Microsoft Office/Google docs
- Time management - this position offers freedom to work from home
Preference will be given to candidates residing in Minnesota, Illinois, Indiana, and Delaware.

Pay: $19.00 - $23.50 per hour
