essentially acting as the primary contact and escalation route on all MTD related matters within the organisation. Key responsibilities; VAT/IT compliance:
Monitoring and managing all aspects of VAT/IT compliance, including accurate calculation and submission of returns. Reviewing transactions to ensure correct VAT treatment on sales and purchases. Technical expertise:
Providing advice on VAT issues, including educating and training of new VAT Reg clients, inc pre-Registration expenses/home working. Processing Late Claims and Year End adjustments Processing data and filing manual returns for Public Department 1 clients Attending HMRC, Xero, Dext, Client Engager Webinars and highlighting issues/improvements, with recommendations if applicable. Maintaining VAT & IT Services workflows on Client Engager, updating/adding client records, configuring auto-emails & scheduling, maintaining Users and permissions, logging support tickets Providing Xero/Dext/CE guidance to internal stakeholders Providing assistance to clients/clerks for LEX integration Client relationships:
Building and maintaining strong relationships with clients, understanding their business needs and providing proactive VAT advice. Acting as the primary point of contact for clients regarding VAT queries. Providing guidance on Late Filing & Late Payment penalties and HMRC communications. Managing clients with Agent Authority and Onboarding tasks to complete Managing clients with connecting auto Bank Feeds & LEX automation if applicable Managing client training requirements for Dext, Xero, Armalytix Shared Mailbox and central point of contact Team Management:
Managing the CE Tasks of the Team Leader/s and the team of bookkeepers, delegating Tasks and managing priorities. Assist the Team Leaders/HR manager with the People/Performance Management of the team, and suggest coaching and development opportunities. Overseeing the day-to-day operations of the VAT/IT team, ensuring efficient and accurate work. Being the point of escalation for issues/queries/advice Escalating relevant issues/queries to the Director/Portfolio holders for input/direction Managing the completion of Client Engager Jobs and ensuring the Team are aware of monthly deadlines and their responsibilities.
Encouraging open communication and development opportunities where possible Assisting with staff recruitment, job descriptions, Personal Development Plans Facilitating Flexible Working, if practical, where the workload/job demands allow HMRC interaction:
Liaising with HMRC on VAT compliance issues and audits. Representing the Client in discussions with HMRC regarding VAT matters. Registering new VAT clients & managing Onboarding process, including gaining Agent Authorisation and providing client Work Instructions Reviewing HMRC correspondence for Late Filing/Payment notifications and advising the Client Assisting Director on unfamiliar issues, e.g. filing PD1/Bankruptcy returns Software/Supplier Management Assisting with the overall implementation of Client Engager, including configuration, integrations, workflows, checklists, auto communications, processes Configuring and maintaining/updating Services in CE, including email templates, automated emails, Phases and Checklists Liaising with Client Engager to ensure best practice and researching new updates Liaising with Xero & Dext to log & manage support tickets for Clients Ensuring Xero has all Clients connected correctly and visible in HQ monthly reports Managing Client reports and schedules in Armalytix for collection of Bank Statements Department planning:
