Position Summary
The Inventory Control Specialist (Non‑Capital Assets) aids management in the full lifecycle tracking, recording, and depreciation of the University’s tangible and intangible fixed assets. This includes, but is not limited to, recording and tracking asset acquisitions and dispositions, reconciling asset sub‑ledgers to the general ledger, maintaining asset registers, preparing and processing required documentation, and conducting physical inventory audits to ensure accuracy in financial reporting.
This position requires strong attention to detail, proficient data entry, efficiency with time and organizational management, and effective communication with internal and external parties to support financial operations and compliance. The role is governed by Generally Accepted Accounting Principles (GAAP), state and federal laws, and agency/institution policy and requires financial confidentiality.

Job Duties and Responsibilities
- Record and track asset acquisitions and dispositions, including tagging processes.
- Perform timely and accurate data entry of asset sub‑ledgers.
- Maintain asset registers and databases.
- Prepare and process required internal and external documentation.
- Conduct periodic physical inventory audits to verify existence, location, and condition of assets.
- Reconciles invoices and payments against equipment and supplies received.
- Sustain organization and maintenance of an assigned storeroom or warehouse.
- Coordinate with related parties regarding records, purchase orders, and onsite audits.
- Partner on shipping and receiving of assets to related state and federal officials.
- Assist in the development and maintenance of internal controls related to procedures for asset management.
- Ensure compliance with internal controls, GAAP, state and federal laws, and agency/institutional policies.
- Utilize internal Enterprise Resource Planning (ERP) Systems to assist in financial reporting.
- Contribute to other fiscal related outcomes or administrative duties, as assigned, such as depreciation/amortization of assets, vendor invoice management, filing, scanning, etc.
Knowledge, Skills, and Abilities
- Competence with Microsoft Suite (Excel and Word)
