Position Overview
A growing organization is seeking an experienced 401(k) Plan Specialist to lead the organization, setup, and stabilization of its retirement plan operations. This is a project-based engagement focused on reviewing current plan structure, ensuring regulatory compliance, optimizing processes, and preparing the plan for long-term internal ownership.
This individual will serve as the subject matter expert for all retirement plan matters during the engagement and will collaborate closely with payroll and finance leadership to ensure a smooth transition at project completion.
This opportunity can be fully remote or hybrid for candidates located near Long Island, NY.
Key Responsibilities- Lead administration and operational oversight of the company’s 401(k) and related qualified retirement plans
- Evaluate current plan structure, documentation, and vendor relationships to ensure compliance and operational efficiency
- Coordinate with recordkeepers, trustees, investment providers, and third-party administrators
- Perform and/or oversee nondiscrimination testing (ADP/ACP, coverage, top-heavy, etc.)
- Reconcile payroll contributions, employer match calculations, and funding timelines
- Identify and correct compliance gaps in accordance with ERISA and IRS regulations
- Support preparation and review of required annual filings (e.g., Form 5500 and supporting schedules)
- Assist with plan amendments, vendor transitions, or structural changes as needed
- Establish clear documentation and internal controls to support long-term plan administration
- Provide guidance to internal stakeholders on plan design, compliance requirements, and best practices
- 3+ years of direct experience administering qualified retirement plans (401(k))
- Strong working knowledge of ERISA, IRS, and Department of Labor regulations
- Experience partnering with TPAs, payroll teams, and external vendors
- Hands-on experience with plan testing, contribution reconciliation, and compliance review
- High attention to detail and strong analytical capability
- Excellent communication skills and ability to explain plan concepts clearly
- Professional certifications such as QKA, QPA, CPFA, or similar
- Experience working with multiple plans or mid-to-large plan sponsors
- Background in payroll, benefits, or HR operations
