Financial Manager, Business Administration, Office Administrator/ Coordinator, Accounting & Finance
The role supports the Senior Director of Finance with budgeting, project-based financial tracking, and preparation of financial reports used for internal decision-making, as advised by the Executive Leadership Team. The Associate of Finance plays a key role in supporting Cities United’s financial operations, development efforts, and grant management processes. Reporting to the Senior Director of Finance, this position ensures accurate financial tracking, reporting, and documentation in alignment with organizational policies, fiscal sponsor requirements, and nonprofit compliance standards.
The Associate of Finance supports day-to-day financial workflows, including processing invoices, maintaining financial systems, monitoring expenses, and assisting with contract and procurement processes.
- CRM experience preferred (Salesforce and Net Suite highly desirable).
- Strong organizational and time-management skills, with the ability to prioritize and manage multiple tasks.
- Ability to develop effective working relationships and communicate with diplomacy and professionalism.
- Strong written and verbal communication skills.
- Ability to work independently, exercise sound judgment, and adapt to evolving priorities.
- Proficiency in MS Office Suite, Google Workspace, and spreadsheet-based reporting.
- Ability to meet deadlines and work with accuracy and attention to detail.
- Assist with partnering with Cities United’s fiscal sponsor, Tides Center, to manage project finances in alignment with Tides' cash management policies and procedures.
- Develop, implement, and maintain internal financial processes and procedures supporting invoicing, contracting, and financial operations.
- Process accounts receivable and accounts payable invoices promptly and assist with the creation and tracking of outbound invoices.
- Support the development and maintenance of internal financial systems that inform strategic decision-making across leadership and program teams.
- Assist the Executive Leadership Team with the development, tracking, and monitoring of fee-for-service and consulting agreements.
- Support the development and tracking of in-kind service hours for reporting and compliance requirements.
- Track and maintain organizational expenses (accounts payable), including but not limited to office rent, subscriptions, and operational services.
PHYSICAL DEMANDS:
Must be able to work for extended periods of time from the laptop and cellular phone. Must be able to lift 30 to 50 lbs.
This is a hybrid position; the Associate of Finance is expected to work in the office at least 3 days a week, located in Louisville, KY. Travel required 6+ times a year.
