Position: Settlement and Visa Specialist
Department: Programming
FLSA Grade : Full-Time, Non-Exempt
Position SummaryUnder the supervision of Associate Director, Programming and Artistic Administrator, this position will be responsible for all artist payments and settlements, as well as completing and filing visa petitions for all visiting artists, for all events presented by the LA Philharmonic Association, including but limited to orchestral programs and presentations at Walt Disney Concert Hall, Hollywood Bowl, Ford Theatre and Beckman YOLA Center, as well as education and community programs as assigned.

- Execute all artist settlements in a comprehensive, accurate, and timely manner.
- Collect all necessary paperwork from artists / artists’ representatives to ensure timely payment per terms of their contracts.
- Prepare artist settlements and settlement sheets, including but not limited to tax documents and information, tax withholding and waivers, banking details, wire/ACH instructions, deductions, reimbursements, buyouts, expenses, merchandise, production costs, etc. If applicable, share approved ticket sales and expense information with artists / representatives.
- Send pre-settlement reports to artists / representatives one week in advance of each artist’s performance/appearance/event.
- Liaise with visiting performing artists / representatives and appropriate staff members across all departments to address settlement questions and ensure timely settlement.
- Coordinate with artists’ management teams to complete and file visa petitions for visiting foreign artists. Collect biographical information, performance reviews, and other essential information to completely assemble and properly file foreign artist visa petitions well in advance of artist’s performance.
- Coordinate and provide support to artists’ management teams for visiting foreign artists’ visa applications at the overseas consulate offices.
- Maintain excellent working relationships with artists, agents, managers, producers and vendors.
- Support post-concert reconciliations for non-classical concerts as needed.
- Other duties as assigned.
- Bachelor’s Degree and/or equivalent work experience in the music industry
- Responsible, accountable, and with a strong work ethic
- Excellent organization, attention to detail, research, and written and verbal communication skills
- Ability to work proactively, independently, and reliably on multiple projects under tight timelines and in a fast-paced environment
- Regular and reliable attendance.
- Availability to work nights and weekends and overtime as required
- Fluency in all Microsoft suites components and remote working tools (Slack, Google, Zoom, etc.)
