POSITION SUMMARYUnder the direction of the Associate Director, Student Affairs Office, the Faculty Student Advisor manages a variety of student affairs activities and processes in support of the Faculty’s undergraduate students and the pursuit of their academic goals. Provide advice to students, departmental academic advisers, professors, administrative staff on a variety of academic issues, procedures, program requirements, etc.
MAIN RESPONSIBILITIES AdvisingAdvises students, departmental academic advisers, professors, administrative staff on a variety of academic issues, procedures, program requirements, etc. Interact with other faculties/units regarding policies and regulations.
Advise SAO’s staff regarding student record policies and procedures.
Act independently towards problem resolution within area of expertise and makes recommendations to supervisor for cases without precedents.
RecordsAnalyze records of newly-admitted students and make decisions on advanced standing and transfer credits at time of admission; ensure accuracy and completeness. Process transfer credit requests for current students taking inter-university courses, exchange or term-away courses.
Approve a variety of requests and electronic transactions (e.g. course substitutions, equivalencies, program changes within the faculty, inter-faculty applications, re-admission applications, exchange and study-away applications, course and university withdrawals). Ensure that admission requirements are noted for each degree at time of transfer.
On ongoing basis, assess student academic progress and support the Faculty’s undergraduate students in the pursuit of their academic goals.
AdministrationSupervise direct-reports (invigilators, casual office assistants as needed). Assign work to shared support staff in the office in relation to incumbent’s activities.
Attend Academic Standing Committee and act as resource person to Chair; interpret and advise on complex student records policies. Ensure Committee’s decisions are accurately processed and reflected on students’ records.
Makes recommendations to the Selection committee for all undergraduate scholarships and awards
Develop and present information sessions, Q&A sessions to students regarding exchange opportunities, study away, pre-registration orientation, etc.
Review and update faculty rules and regulations in the course catalogue and make recommendations to the
Creates the calendar of dates for the faculty on a yearly basis and ensures compliance with departments and central.
Creates updates and ensures compliance with Faculty rules and regulations for the undergraduate students website.
Oversee/manage annual Faculty orientation for new students and assist with special events coordinated through SAO (yield events, convocation, counsellor sessions).
InternshipsAdvises students regarding internship options
Liaise with Faculty to assign students.
