The role of the Special Education Case Manager encompasses the coordination and oversight of student caseloads within a multi-school environment. This role involves assessing students needs, developing individualized education plans, and providing ongoing support and advocacy to ensure students receive comprehensive and effective services. The Special Education Case Manager will work in a hybrid environment, balancing remote work with on-site visits as required to maintain direct contact with students, teachers, administration, school staff and service providers.
Effective communication, organizational skills, and the ability to work collaboratively are essential for success in this role.
The essential functions include, but are not limited to, the following:
- IEP Coordination:
- Coordinate, draft, and facilitate IEP meetings.
- Ensure timely completion of IEPs and services.
- Track and review services.
- Maintain and organize student IEP files (Green Folders).
- Create and manage the IEP Master Calendar for your caseload.
- Review previous IEPs and reports.
- Send assessment notifications with assistance.
- Consult with IEP/school teams regarding behavior and instructional support.
- Collaborate with General Education teachers to ensure consistent implementation of accommodations/modifications.
- Data Management:
- Collect and analyze data related to student performance and progress.
- Conduct data collection as needed for Tri/Re-Evaluations.
- Enter data into Welligent and other platforms.
- Review and audit IEPs for compliance.
- Conduct weekly compliance reviews and monthly service log reviews.
- Student Support:
- Develop Behavior Support Plans and Transition Plans.
- Monitor goal progress and conduct 30-day IEPs.
- Conduct interviews with parents, students, and General Education teachers.
- Provide in-person support for TAs/Paraprofessionals and teachers.
- Professional Development:
- Plan and conduct Beginning of the Year PD and RST Schedule.
- Support Professional Learning Communities (PLCs).
- Conduct planning and compliance workshops.
- Administrative Tasks:
- Handle transfer requests of inactive records on Welligent.
- Provide reminders of upcoming meetings and double-check calendar/IEP dates.
- Maintain a customer service mindset.
- Educational Background:
- Master's degree in Education preferred.
- Credentials:
- Credential in Special Education or equivalent.
- Technical Skills
- Proficiency in Excel, Microsoft Word, Google Suite, and Drive.
- Knowledge of SEIS (IEP platform) and Welligent (IEP platform).
- Experience and Skills:
- Two years of special education teaching experience.
- Competent in report writing and responsive to feedback
- Ability to disconnect personal issues from professional responsibilities
- Customer service mindset and excellent communication skills
- Knowledge of special education and 504 laws, policies, and procedures.
- Experience working with K-12 students exhibiting a diverse range of disabilities, encompassing autism spectrum disorders, attention deficit hyperactivity disorder (ADHD), op positional defiant disorder (ODD), specific learning disabilities, and other health impairments (OHI).Experienced in utilizing Welligent and SEIS software programs.
- Physical and Cognitive Requirements:
- Capable of navigating stairs in an educational facility

Qualifications: - Must have a laptop
- State and federal fingerprint clearance (Live Scan) to work with students (Ed. Code 44237).
- Proof of a clear TB Tine test or a signed Certificate of Completion dated within the last 60 days (Ed. Code 49406) upon employment and updated every four years thereafter.
- Hold and maintain a valid California Driver’s License, proof of automobile insurance, and full-time use of a dependable automobile that is insured pursuant to California regulations.
