Weekly meetings with supervisor will be scheduled that work for both of us for support, confirmation, and responsiveness to training and support needs, engagement in Planning team meetings and other opportunities as needed.

Job Description
  • During MC sessions:
    - Attend Messy Conversations event on Mondays at 4PM PST/7PM ET
    - Have handy materials to be shared via chat with the audience
    - Take, label and archive screenshots of participants’ galleries.
    - Download, label and archive session materials shared with/by the audience, i.e. padlet, slides, articles, links.
    - Download, label and archive session chat via zoom
  • Outside of MC sessions
    - Attend MC Planning Team (MCPT) meetings on Tuesdays at 4PM PST/7PM ET
    - Help manage incoming MC email traffic - Monitor MC outgoing announcement email traffic - Implement assigned initiatives to engage students and alumni - Investigate weekly topic-related materials for Libguide content - Gather from MC team approved session facts, resources, titles, participant names so to help feed flyers, invites and Libguides - Create a flyer draft by Tuesday - Send out test reminder with email announcement and flyer information to MCPT by Wednesday for corrections/suggestions - Distribute announcement email by Thursday (preferably morning)
    - Send out Calendar invite to Messy Conversations Antioch Community (contact list) by Friday
    - Upload MC recorded videos on Youtube & link to Libguide in a timely manner
    - Collect number of attendance information via zoom on a weekly basis
    - Collect participants' email contact information
    - Collaborate with Malik Books and manage the distribution of gift certificates
    - Manage and archive expense receipts related to the acquisition of gift certificates
    - Maintain a master MC mailing list based on past and current weekly audience and guests addresses
    - MC database listing MC sessions information (title, participants, date, # of attendees, & links) on Messy Conversations Complete spreadsheet
    -Support MC archiving initiatives
    -Help recruit and train FWS replacement (s)
Qualifications
  • Team work disposition, attention to detail and wiliness to apply/learn digital documentation skills within approved number of FWS hours are key expectations embedded in this position.
  • Ideal candidate (s) will be willing to proactively learn and/or utilize digital engagement and documentation tools such as Mailchimp, Canva, Lib Guides, and Google Drive.
  • Based on a remote quarterly work plan, the UGS Virtual Community Engagement and Documentation Assistant helps amplify the visibility of the Messy Conversations (MC) program, contribute to foster student and alumni participation, and support MC record keeping and archiving processes.
  • The student (s) undertaking this position will have the opportunity to nurture, apply and hone own self-directed work, communication, and time management skills in a meaningful collaborative role.
  • This can be a unique addition to the professional resume of the appropriate candidate (s).
